POSITION SUMMARY
Reporting to the Supervisor, Port Security, the Security Administration Support position plays a pivotal role in assisting the Credentialing Office. This is a front-facing, customer service role with responsibilities including the management of all port passes and keys accessing PRPA properties and assets, including buildings, gates, equipment, and restricted areas. This function serves as the primary point of contact for public stakeholders, ensuring a positive experience.

POSITION ACCOUNTABILITIES

  • Port Pass issuance and administration including responding to emails and phone inquiries, printing port passes, audit records, and other administrative tasks as assigned.
  • Provides daily support as well as relief coverage to the Security Operations Associate.
  • Provides administrative management of the Access Control Manager (ACM) System, monitoring groups/categories within the system and assigning appropriate authorized access.
  • Process invoices and collect payments for port users, ensuring month-end port pass billing (cash and account) is complete and submitted to PRPA’s Finance Department.
  • Manages all credentialing office supply orders including proximity cards, printers, lanyards, and other associated supplies.
  • Coordinates the booking and use of PRPA’s Emergency Operations Center (EOC).
  • Administrative lead of the DATS, TRAKA, and TrackTik software; management of new user profiles and levels of use. Attend regular coaching sessions with DATS coach (external) for updates, changes, and ongoing system maintenance.
  • Support the Director, Gateway Operations in preparation for ISO 28000 audits and annual recertification by tracking non-conformance progress and assisting in the development of continuous improvement opportunities.
  • Maintains and updates all security-related documents such as the Port Security Plan, Security Operating Procedures, and the Emergency Response Operating Procedures.
  • Provides administrative support including preparing correspondence, undertaking research assignments, coordinating conference and video conference calls, scheduling meetings, and composing meeting minutes for the Port Security/Emergency Preparedness Committee Meetings and other meetings as required by the security department.
  • Provides back-up assistance to the Administrative Assistant, Gateway Operations when needed.
  • Performs other assigned duties as required.

WORKING CONDITIONS

  • Works predominately in an office environment.
  • Regular, full-time position (37.5 hours per week). Regular working hours are Mondays to Fridays, 8:00 AM to 4:30 PM with a 1-hour unpaid lunch break.
  • Due to the essential on-site responsibilities of this role, remote work is not feasible. The position requires direct, in-person engagement to ensure the effective execution of security and credentialing operations within the facility.

JOB SPECIFICATIONS

Formal Education

  • Post-secondary education.

Related Experience

  • Three years of security and/or administration experience is preferred.

The starting base salary range for this role is $63,011 - $78,764.
