We are currently seeking candidates to apply for a Full-time Secretary III (Temporary) position at High Park School, located in Stony Plain, Alberta.

EXISTING PERMANENT EMPLOYEES: As an existing CUPE employee you are eligible to apply and if successful you will maintain your Permanent status. At the conclusion of the Temporary Position, you will be returned to the same or similar position (and at the same location, if possible) as you were previously in.

NEW EMPLOYEES: As a temporary employee you will not be eligible for leave entitlements and benefits. The provisions of the Collective Agreement apply to Temporary Employees, except the following listed in Article 2.06 (Probationary Period, Seniority, Layoff and Recall, Sick Leave, Leave of Absence, Health Plan Benefits, Local Authorities Pension Plan).

Function and Purpose of Position

Secretary III’s are the ambassadors of the school’s front office with an expert level of business knowledge and administrative skills. Secretary III supports the management of the school’s front office to ensure tasks are completed in a timely manner. Effective interpersonal skills are essential to deal with a variety of situations that arise in a school setting. A team player approach to all situations is essential with friendly and flexible characteristics are a must.

Secretary III’s May
  1. Work under the direction of the Principal and/or designate
  2. Work independently and collaboratively as part of a team
  3. Must enjoy working with students, families and the general public

Administration and Instructional Support
  1. Provide business coordination, maintain and update financial records (accounts payable/receivable, budget, capital inventory, etc), and secretarial support to school administration including processing correspondence, reports and other documents.
  2. Processing and recording cash transactions and transactions from school petty cash account.
  3. Reconciling school accounts.
  4. Generating invoices or overdue notices as necessary.
  5. Producing financial information reports as required.
  6. Making or overseeing bank deposits for the school.
  7. Processing purchase orders.
  8. Arranging for direct purchasing of supplies and service.
  9. Dealing with vendors on behalf of the school, in arranging for goods or services, problem solving and negotiating special services, etc.
  10. Maintaining inventory of supplies and arranging for replacement as necessary.
  11. Reconciling office Visa purchase statements.
  12. Coordinating staff reconciliation of Visa purchases.
  13. Excellent computer and technical skills for the preparation of correspondence, report cards, budget documentation, education plan, month ends, and other documentation supporting the operational needs of the school.
  14. Provide a range of reception, telephone system, secretarial and clerical support to the school site staff, including inquiries from parents and community members.
  15. Oversee the administration of student records and serve as school business coordinator.
  16. Distributes information and oversees the maintenance of administrative filing systems.
  17. Ability to follow process and instructions to complete assigned tasks in a timely manner.
  18. Assist with, coordinate or make arrangements for special programs, projects and events.
  19. Assigns school keys as necessary.
  20. Ability to support and assist a Secretary II in the following duties as needed:
  21. Recording and updating information such as student demographics, attendance and general student portfolio data.
  22. Generating periodic and ad hoc reports.
  23. Generating invoices for school fees.
  24. Downloading information to the Division Office for onward transmission to the Alberta Government.
  25. Registering new students and obtaining information from schools from which students have transferred.
  26. Closing registrations for students who transfer out of the school.
  27. Maintaining of cumulative records.

Supervises Support Staff in the School Office
  1. Provide training, advise, guidance and direction to support staff.
  2. Monitor staff performance.
  3. Oversee overall work output in relation to quality and timeliness.
  4. Arranging for replacement or additional staff as necessary.
  5. Assist with recruitment of new support staff.
  6. Assist in the appraisal activities of staff being supervised.

Student Assistance and Personal Care
  1. Provide support, assistance and supervision to students including but are not limited to contacting parents if needed, dispensing medication, monitor students’ condition, etc.

Communication and Reporting
  1. Maintain teacher and support absences/substitutes and casual records.
  2. Serve in a liaison capacity with administrative staff in other schools and in the Centre for Education.

Supervise Students
  1. Provide support, assistance and supervision to students as needed.
  2. Make arrangements for and organizes bussing for field trips.
  3. Contact parents, guardians, school administrators as necessary.

Additional Duties
  1. Liaison with Account and Purchasing staff at Division Office.
  2. Review applications for joint use and approve those who meet policy requirements.
  3. Arrange for necessary custodial and security services for events.
  4. Liaison with Division Office, outside agencies, as necessary.
  5. Serve as Recording Secretary for meetings.
  6. Assist with the preparation of agendas and correspondence.
  7. Other duties as assigned.

Education And Experience
  1. Education:
  2. High School Diploma.
  3. Completion of Office Administration/Accounting Diploma or equivalent.
  4. Nonviolent Crisis Intervention and First Aid certificate would be an asset.

  1. Experience:
  2. 3 to 5 years of related experience.
  3. Power School experience would be an asset.
  4. Power Teacher experience would be an asset.
  5. Rycor (Accounting Software) experience would be an asset.
  6. Alberta Education Extranet & PASI experience would be an asset.
  7. Report Card Dossier experience would be an asset.
  8. IPad Apps experience would be an asset.
  9. Destiny training would be an asset.
  10. Google Drive training would be an asset.

  • Previous experience working in a school setting is required.

    9. First Aid Certificate.
    10. Some assignments may require use of own vehicle.

    This work is most rewarding for those who enjoy working with children (especially physically, emotionally and behaviorally challenged children), having clear rules and guidelines for their work, and finding innovative ways to handle situations.

    Secretaries must agree to respect the confidentiality and personal integrity of students, parents, teachers and other staff.

    This position requires an original copy of a current clean criminal record check with vulnerable sector and an original copy of a child intervention record check.

    This position is covered by the Canadian Union of Public Employees (CUPE).

    Hours of Work: 35 hours/week (Monday to Friday 8:00 AM to 3:30 PM)

    Pay Rate: $26.43 - $29.62 per/hr (Pay Group 4)
