Job description

You are a detailed-oriented team player who has high critical thinking and problem-solving skills, exemplary organizational and communication skills. As a Senior Payroll Clerk VI, you will review and process payroll and all payroll-related forms for completeness and accuracy. A successful candidate with strong Canadian payroll experience will manage end-to-end payroll processes and collaborate with internal teams to maintain smooth payroll operations.

Note: This position qualifies for an optional hybrid work schedule after 90 days of onsite work and onboarding. Employee will be subject to the terms of the Flexible Work Policy Agreement.

What you'll do

  • Review and process payroll and all payroll-related forms for completeness and accuracy (Timecards, ROE, record of leave, benefits), in accordance with government statutes, collective agreements, and benefit contracts.
  • Ensure timecard data is accurately entered into the payroll system.
  • Process layoffs and follow payroll procedures for terminated employees.
  • Contact operations supervisors for any missed timecards or discrepancies with timecards.
  • Review and process all special payments (terminations, wage increments, retroactive pay) as required and in accordance with current CRA rules.
  • Compile and accurately process payroll data such as garnishments, vacation time, union dues, benefits, insurance, and other deductions.
  • Ensure all deductions are made as scheduled and in accordance with relevant collective agreements.
  • Create and run required internal management reports from the payroll system.
  • Calculate, prepare, and report statutory remittances and voluntary payroll deductions in a timely manner and balance to the General Ledger.
  • Responsible for paystub sealing and distribution.
  • Prepare payroll distribution, expense, benefit, and other journal entries and reconcile related payroll general ledger accounts.
  • Assist in the reconciliation, creation, and timely distribution of T4s / T4As.
  • Maintain an accurate set of confidential employee files by sorting and filing copies (electronic or hard copy) of documents after each pay run in accordance with the company’s records retention policy.
  • Respond to employee, union, benefit carriers, and government agencies regarding payroll inquiries.
  • Prepare timecards for the upcoming pay period.
  • Assist other payroll clerks for vacation relief or during peak periods.
  • Perform other administrative duties, such as mail, switchboard, filing, etc. as requested.
  • Train Payroll backup and review the work during the training process.
  • Provide training to other Payroll Clerks as required.
  • Provide back-up relief to cover other payrolls.
  • Participate in required meetings providing input.
  • Participate and assist in the implementation of new systems as required.
  • Perform other payroll and accounting-related duties as assigned.
  • Prepare ad hoc reports as requested.
  • Perform additional duties as assigned.

What you'll bring

  • Completion of Grade 12 education, plus completion of Canadian Payroll Association’s Payroll Compliance Practitioner (PCP) Certification, or an equivalent combination of education and experience.
  • Minimum 3 years payroll experience utilizing a computerized payroll program, preferably JD Edwards in a large multi-union environment.
  • Experience with JD Edwards’s system is an asset.
  • Knowledge of the methods, practices, and procedures employed in the preparation and processing of payrolls.
  • Intermediate level computer skills with the ability to work with computer applications such as word-processing, spreadsheet, and database software in a Windows environment.
  • Understanding of operational inter-dependence between Human Resources and Payroll is an asset.
  • Ability to communicate courteously and effectively with various groups in writing, in person, and on the telephone.
  • Ability to maintain sustained attention to detail with a high level of accuracy.
  • Ability to cooperate and communicate confidentially and to maintain and control confidential payroll information and records.
  • Ability to multi-task and meet deadlines while dealing with frequent interruptions.
  • Ability to make decisions and work with limited supervision.
  • Ability to exercise initiative and contribute ideas to improving departmental operations and service to employees.
  • Ability to work effectively as a team with good interpersonal skills.
  • Ability to interpret and apply Union, government, agency, and departmental policies, procedures, and guidelines.
  • Ability to perform mathematical calculations with speed and accuracy.

Pay: Starts at $5,475 / month (rate increases to $5,959 / month after the probation period). This is a unionized position and pay rates for this position are set out in the applicable collective bargaining agreement. The rate stated above is the starting rate for this position, which increases after the probationary period and continues to progress over the course of 12 months as per the collective agreement.
