Reporting to the General Manager, the Receptionist/Admin Assistant is a valued member of a team of Administrators, Psychologists, Social Workers, and Certified Counsellors who provide vital mental health counselling services. The successful applicant will be responsible for providing administrative support and clerical resources to clients, Employee Family Assistance Program coordinators, and our own staff & independent contractors. Our Administrative Assistant will provide a confidential, friendly, compassionate, and professional environment for all.

Skills and Abilities

  • Excellent organizational and interpersonal skills
  • Must be trustworthy, reliable, and dependable
  • Must understand and respect the confidential nature of our business
  • Ability to multi-task in a fast-paced environment while remaining calm, pleasant, and level-headed
  • Proficient in Excel, Word, Outlook
  • Online scheduling experience through Jane App is an asset
  • Strong oral, written communication, and proofreading skills
  • Ability to work independently with minimal supervision, take verbal direction, and independently problem solve
  • Ability to provide new ideas and suggestions to aid in the improvement of the overall business
  • Ability to work collaboratively and respectfully with our large team
  • Ability to independently complete tasks in a timely manner
  • Willing to work flexible hours to accommodate the practice's busy evenings 2-3 times a week
  • The ideal candidate will also have the opportunity over time to potentially take on more of the office manager's duties

Key Responsibilities

  • Reception & telephone responsibilities
  • Clerical support
  • Day-to-day appointment scheduling (currently using ClinicMaster software)
  • Administrative support to all team members
  • Client intake and collection of related paperwork, filing, emailing/faxing, and other communication
  • Maintain office equipment and supplies
  • Monthly statistical reporting
  • Bank deposits
  • Collecting payments
