We are currently hiring a Real Estate Projects Coordinator based in our Head Office in Burnaby.

Please note that this is a hybrid role based out of our Burnaby, BC office. Applicants who are not located within commuting distance of our Head Office or are not looking to relocate to the Greater Vancouver/Lower Mainland/Fraser Valley region will not be considered.

As a Real Estate Projects Coordinator at BCAA, you will play a vital role in supporting the efficient and effective delivery of real estate and facility projects across the organization. You will work closely with internal stakeholders, project team members, and external vendors to manage complex real estate projects that span multiple business areas, including Service Locations, Roadside Assistance, and the Home Office. Your responsibilities will include project administration, stakeholder engagement, budget tracking, and operational support, ensuring that projects are completed on time, within budget, and in line with organizational goals.

With increased complexity in real estate projects—such as larger budgets (up to $2.5M) and multi-year timelines—your role as Coordinator will be crucial in navigating challenges like supply chain disruptions and trade availability. You will have the opportunity to work on 4-6 active projects at any given time, making this an ideal role for someone passionate about project management and looking to grow in the field.

  • You are comfortable working cross-functionally and collaboratively in a fast-paced environment.

What you’ll do:

  • Coordinate project-related tasks such as meeting scheduling, communication updates, and project documentation management.
  • Work closely with internal stakeholders and project team members to gather requirements and ensure the successful completion of tasks.
  • Monitor project timelines and follow up with team members to ensure all milestones and deliverables are met.
  • Assist in drafting and distributing project updates, maintaining excellent communication between stakeholders and external partners.
  • Support operational requests, including space planning, signage requests, and coordinating furniture requirements across BCAA locations.
  • Manage and maintain project documentation, ensuring that records are organized and up to date in systems like OneDrive and MS Teams.
  • Assist with budget preparation, tracking, and invoice management, ensuring projects stay within financial parameters.
  • Provide administrative support for project-related certifications, such as accessibility or sustainability certifications, and organize location plans and related documentation.
  • Ability to work off site and occasionally adjusted hours, as ad hoc projects arise and operational needs shift.

What you bring:

  • You hold a Certificate (6-18 months) in Finance, Project Management, Operations, Building Maintenance, or a related field, or an equivalent combination of education and experience.
  • You have 2-4 years of experience in real estate, maintenance, operations, or project coordination.
  • You are highly organized and capable of managing multiple priorities while maintaining strong attention to detail.
  • You have excellent written and verbal communication skills, with the ability to influence and engage both internal and external stakeholders.
  • You are proficient with MS Office products (Excel, Word, PowerPoint) and MS Teams, and experience with design tools such as CAD is a plus.

Bonus skills and experience!

  • Previous experience working with design tools (e.g., CAD) is an asset.
  • A willingness to pursue project management designations, such as CAPM or PMP, will be given preference.

The salary range for this position is $54,957.00 to $68,696.16 and is determined via job-related knowledge, skills, experience, certifications, market demand and internal equity. In addition to base salary and BCAA benefits, this position is eligible for a performance bonus target of 5%, with the opportunity to earn up to 9%.
