Job DescriptionReporting directly to Victoria Shipyards Senior Quality Assurance Representative, the Quality Assurance Coordinator (18 Month Limited-Term) works within the Quality Assurance Department. The QA Coordinator plays a crucial role in management of the documentation processes within the Quality Management System (QMS) to comply with the ISO 9001 standards. The QA Coordinator is required to provide analytical and organizational support for the Victoria Shipyards QA department and other departments as the need arises. Provide support for QA documentation management for the Shipyards when vital. All document control to be executed in accordance with Quality Management System (QMS). The position combines technical skills, a high level of computer proficiency, effective communication skills and excellent understanding of document control processes (to meet QMS). This position requires the incumbent to work independently and interact with all levels within the organization from Senior Management to front line staff.
Complexity comes from managing time-sensitive multiple projects and competing demands primarily from VSL and from other Seaspan Shipyards upon occasion.
Note: Due to business needs, this position is required to be fully on-site based at 825 Admirals Road, Victoria.
This is an 18 Month Limited term employment with eligible benefits and 3 weeks’ vacation.
What You’ll Do
- Develop, implement, and maintain document control procedures in accordance with ISO 9001 standards.
- Coordinate the creation, review, revision, and distribution of quality documents, including procedures, work instructions, forms and records.
- Ensure all quality documents are current, accurate, and accessible to relevant personnel to meet customer and quality expectations.
- Manage the document change control process, including reviewing and approving document changes and ensuring proper revision control in accordance with the defined document review schedule.
- Manage the electronic document management system.
- Train employees on document control procedures and the use of the document management system.
- Create user friendly tools (e.g. SharePoint) to track various project deliverables.
- Ensure maintenance of various databases meets end user and QMS requirements.
- Work on quality objectives and continuous improvement initiatives.
- This work requires communications management of diverse interests, in order to effect authorization and document control. Numerous communications will take place at a distance. Internal contacts range from Tradespeople with minimal digital literacy through to technical and Managerial personnel throughout Seaspan Shipyards.
- Lessons Learned; Attend lessons learned meetings, take meeting minutes, distribute minutes for validation, enter information into database. Assist with monitoring and following up on outstanding action items, as directed.
- Quality Communications; Draft and support sending various Quality related communications.
- Organization of Team building activities/ events.
- Responsible for overseeing and maintaining inventory levels of all supplies required for daily Quality operations.
- Support QMS SharePoint in an Administrative role.
- Support Management of Change process as directed.
- The position requires work hour flexibility as there may be a requirement for overtime hours.
- Other duties as required/ directed.
What You’ll Bring
- 2+ year's Quality Assurance experience or equivalent, preferably in an ISO 9001 certified environment.
- Proficiency in Microsoft Office Suite, including SharePoint Online.
- Certification in Document Management Systems (DMS) or equivalent (considered an asset).
