Purchasing Coordinator

Position Summary
Reporting to the Manager of Financial Services, the Purchasing Coordinator organizes and manages procurement within District School Board Ontario North East. The Purchasing Coordinator develops agreements with vendors through an open competitive process, ensures compliance with Broader Public Sector procurement directives and provides guidance to staff regarding purchasing requirements and policies.
Education/Experience Requirements
- Post Secondary education in Business Administration and/or related field
- A designation or certification from a professional purchasing program (CPPB, CPPO, CPP designation or equivalent) considered an asset
- Two (2) years buying experience (ie. Independently prepare, issue, evaluate and award contracts, subject to Supervisor approval) in a computerized purchasing environment preferred
- OPBA Principles Certificate Program an asset
Skill And Ability Requirements- Demonstrated proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- Excellent written and oral communication skills
- Demonstrated ability to collaborate as a team member
- Knowledge of purchasing principles, practices, and techniques
- Ability to organize and prioritize work in an environment subject to tight deadlines
- Knowledge of relevant legislation regulations and acts as it relates to Education
Essential Job Requirements- Strategically develop, post, and advertise Request for Proposals and Request for Tenders in the Board’s electronic tendering system
- Manage process and monitor all Building Services Tenders
- Manage and review all agreements including those placed through the Ontario Education Collaborative Marketplace (OECM)
- Manage and maintain vendor relations with the Board
- Provide support and guidance for purchasing clerks, secretaries, custodians, and other board personnel with their purchasing requirements
- Serving school and departmental needs across the entire district
- Maintain the Boards photocopier fleet, including major maintenance and purchase needs Review Purchase Order run daily and authorize
- Update and maintain accurate vendor catalogues, pricing descriptions, substitutions
- Populate and maintain Purchasing Order files in appropriate archiving record
- Analyze and interpret data from various sources and produce detailed reports as well as identify opportunities to improve efficiency related to purchasing activities.
- Continued commitment to training in best practices in Public Procurement
- Other duties as assigned
