With 139 well-appointed rooms, the hotel offers full-service F&B outlets including an All-Day Dining restaurant (90 covers), Lobby Lounge (30 covers), and Bar (60 covers), along with 24-hour Room Service. Our meetings and events space accommodates up to 500 guests, supported by additional leisure and wellness facilities such as a Health Club, Swimming Pool, and a boutique Spa.

What is the job?

As Purchase Manager, you will be responsible for managing the hotel’s procurement function, ensuring timely sourcing and cost-effective purchasing of goods and services across all departments. Your role will support operations in multiple areas including Food & Beverage (All Day Dining, Lobby Lounge, Bar, and Room Service), Meetings & Events (under 500 covers), Spa, Health Club, and other key facilities.

We are seeking a detail-oriented and proactive professional with strong supplier negotiation skills, inventory management experience, and a commitment to maintaining quality and compliance standards.

Your day to day

1. Translate operating forecasts into material requirements plans and thereby determine standard stock and re-order levels with Department Heads.
2. Participate in negotiations for service contracts; identify and develop reliable sources of supply.
3. Identify and organize adequate storage for all perpetual inventory items and implement corporate policy, products and initiatives in order to maximize cost effectiveness.
4. Establish adequate record-keeping and issuance procedures; protect inventories from waste, spoilage and theft.
5. Keep abreast of the marketplace as to innovation and value.
6. Process purchase requests from departments; obtain competitive quotations and bids.
7. Post orders to inventory module and produce purchase order for receiver to match against goods received; establish standard purchasing specifications.
8. Ensure products and resources are assigned to the appropriate department and billed accordingly.
9. Supervise the hotel's print shop to ensure timely and economical production of printed material.
10. Ensure that market surveys are completed in coordination with the Executive Chef, F&B Manager, and Accountant.
11. Ensure that hotel expenses are minimized through the use of effective purchasing and by monitoring daily purchases in consultation with the relevant personnel.
12. Monitor all costs in the purchasing department and recommend measures to control; obtain the most competitive prices for goods & services after negotiations.
13. Under the direction of the Director of Finance & Business Support, coordinate the preparation of the departmental annual budget and work to achieve the budget by monitoring and controlling the departmental operations, considering revenue and expenditure.
14. On an ongoing basis, control and analyze departmental costs to ensure performance against budget; implementing corrective measures where necessary to produce positive business results.
15. Effectively manage staffing costs by preparing efficient work schedules in line with legal requirements.

People:

1. Direct day-to-day purchasing activities, plan and assign work, and establish performance and development goals for team members.
2. Provide mentoring, coaching, and regular feedback to help manage conflict and improve team member performance.
3. Plan for future staffing needs & recruit in line with company guidelines.
4. Prepare detailed induction programs for new staff.
5. Maintain a comprehensive, current, and guest-focused set of departmental standards and procedures and oversee their implementation.
6. Ensure training needs analysis of your departmental staff is carried out and training programs are designed and implemented to meet needs.
7. Actively work at developing your staff and identify high potentials.
8. Maintain training records for all direct reports and ensure they do the same for their staff.
9. Conduct probation and formal performance appraisal in line with company guidelines.
10. Regularly communicate with staff to maintain good relations.

Guest Experience:

1. Ensure that the item conforms to the required standards of quality and quantity at the lowest possible time.
2. Maintain close liaison between the requisitioner and the supplier where the quality is of paramount importance. In such instances, obtain the requisitioning department head’s conformity in writing to the decision on the selected supplier.
3. Follow up on undelivered items, make proper complaints to supplier concerned when items delivered are unsatisfactory.
4. Demonstrate service attributes in accordance with industry expectations and company standards including:

• Being attentive to both internal and external guests.
• Accurately and promptly fulfilling both internal and external guests' requests.
• Maintain a high level of knowledge which affects both internal and external experience.
• Taking appropriate action to resolve both internal and external guest complaints.

Responsible business:

1. Demonstrate understanding and awareness of all policies and procedures relating to Health, Hygiene, and Fire Life Safety.
2. Familiarize yourself with emergency and evacuation procedures.
3. Ensure all security incidents, accidents, and near misses are always logged in a timely manner and brought to the attention of the Line Manager.
4. Comply with IHG Green Engage sustainable procurement standards.
