The Leasing Administrator will be assigned a portfolio of residential properties and be tasked with tenant relations, maintenance and repair management, janitorial services, landscaping, snow removal, etc. The purpose of the Leasing Administrator is to effectively manage and coordinate persons, activities, and available resources in order to accomplish corporate objectives including maximizing occupancy levels.

Responsibilities include:

  1. Respond to tenant requests/problems in a timely and courteous manner and generate work orders to be actioned by the Facilities Team. Follow up with the tenant to ensure satisfactory resolution of the issue. Ensure that there is 24 hour emergency coverage for the property at all times.
  2. Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property.
  3. Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy. Prepare and maintain appropriate tenant lease files, records, correspondence and file notes.
  4. Co-ordinate production and ordering of signs, tenant identification, etc.
  5. Assist in production of monthly charges.
  6. Assist in preparation of transaction related documents.
  7. Ensure property is rented to fullest capacity utilizing marketing strategies to secure prospective residents.
  8. Deal with resident concerns and requests on a timely basis to ensure resident satisfaction.
  9. Ensure all rents are collected and posted in a timely manner.

Knowledge Skills and Abilities:

  1. Completion of a post-secondary education in a related field.
  2. 1 to 3 years of related experience.
  3. Knowledge of best practice related to leases and service contracts.
  4. In-depth knowledge of The Residential Tenancies Act.
  5. Experience dealing with the Landlord and Tenant Board.
  6. In-depth property management knowledge including, but not limited to, building operations, customer service, occupational health and safety, environmental compliance.
  7. Bilingualism (French/English) would be an asset.
