Reporting directly to the Director of Infrastructure, The Property Administrator plays a pivotal role in supporting the management of all Penticton Indian Band Owned Properties. The Property Administrator is charged with overseeing the administration, budgeting, and day-to-day operations of PIB properties, ensuring smooth and accurate financial and administrative functions. The Property Administrator possesses strong organizational skills and a proactive mindset, seeking opportunities to enhance departmental processes and procedures. Responsibilities include managing rental agreements, maintaining meticulous records, and coordinating maintenance requests to uphold property standards, regulatory compliance, and positive tenant relations.

Duties/Responsibilities:
- Oversee daily operations of PIB owned properties, including scheduling maintenance and repairs to ensure a safe, healthy, and attractive environment.
- Collect, record, and deposit rental payments, managing accounts receivable and payable to maintain financial health of the property.
- Coordinate rental agreements with prospective users, ensuring terms comply with legal requirements and property policies.
- Prepare and administer contracts for property services, such as maintenance, landscaping, and security, ensuring quality and cost effectiveness.
- Co-ordinate implementation of repairs, maintenance and renovations.
- Handle property user inquiries and complaints promptly, providing solutions to issues and maintaining good relations.
- Troubleshoot and respond to after-hours issues regarding properties.
- Conduct regular property inspections to assess condition, identify necessary repairs, and ensure compliance with health and safety regulations.
- Prepare and manage the property budget, including forecasting expenses and analyzing variances to ensure financial objectives are met.
- Implement sustainability practices and green initiatives within the property to promote environmental responsibility and potentially reduce operating costs.
- Ensure compliance with all internal policies and procedures as well as external governing rules & regulations.
- Collaborate with community stakeholders, government agencies, and relevant organizations to identify funding opportunities and secure grants for property improvement projects and community development initiatives.
- Research and recommend innovative technologies and best practices to enhance property management efficiency, streamline administrative processes, and improve tenant satisfaction.
- Facilitate community engagement and participation in decision-making processes related to property development, renovations, and land use planning, ensuring alignment with Penticton Indian Band's cultural values and long-term objectives.
- Conduct regular reviews and assessments of property policies, procedures, and lease agreements to identify areas for improvement, ensure compliance with legal and regulatory requirements, and uphold equitable treatment of tenants and community members.
Qualifications/Requirements:
- Bachelor’s degree or diploma in business administration or other relevant discipline, including completion of courses in property management.
- 1-2 years of experience in property management and contract administration.
- An equivalent combination of education, training, and experience may be considered.
- BOMA designation or working towards obtaining it.
- Valid Class 5 BC Driver’s License and drivers abstract required.
- Proficiency with computer applications including Microsoft suite and Outlook.
- Own transportation.
- Ability to pass a Criminal Record Check.

- Exposure to stress related to time pressure, multiple demands, and client expectations and interactions, which are occasionally hostile (unsatisfied client/member).
- Occasional travel as required.
- Overtime may be required.
