JOB PURPOSE
To manage the successful execution of Infinity construction projects by planning, organizing, and overseeing all project activities. The Project Manager is responsible for ensuring projects are completed on time, within budget, and in accordance with quality and safety standards. Through the effective management and coordination of resources, communication with stakeholders, and proactive problem-solving, the Project Manager aims to deliver exceptional construction outcomes while fostering a collaborative and efficient project environment.
KEY RESULT AREAS (OVERALL)
1. Assist the Director of Pre-Construction and Director of Construction during pre-construction of projects.
2. Manage the project start-up process to ensure timely, effective, and efficient workflow throughout the course of the construction project.
3. Manage the project execution and document control process to achieve a high performing, well-built construction project that meets or exceeds stakeholder quality, schedule and budget expectations.
4. Facilitate the efficient close out of the project.
5. Collate lessons learned throughout the project and organize a post-mortem to review project performance with the project team, Director of Construction, Director of Pre-Construction, Development and Owner.
6. Ensure a productive, collaborative and respectful environment is established and maintained between all parties and personnel responsible for contributing to the Infinity Construction project.
RESPONSIBILITIES
As a Project Manager for Infinity Properties, you are responsible for the successful execution and delivery of construction projects. This role encompasses a range of responsibilities, including:
1. Pre-Construction:
A successful project starts with well thought-out and accurate drawings and project documents. Supporting the Director of Pre-Construction and Director of Construction in this is an important aspect of the Project Managers job description and includes the following items:
a. Drawing Review:
i. Review IFT and IFC drawings and flag errors and omissions. Ensure that complete trade and supplier scopes of work can be executed from the drawings and specifications.
b. Site Planning:
i. Provide input on site logistics and staging.
ii. Provide input on sequencing of work.
iii. Provide input on the preliminary construction schedule, including sequencing, durations and organization of the work.
iv. Provide input on required site labour requirements.
c. Tendering:
i. Provide input on trades list.
ii. Advise the Preconstruction Department on lessons learned from previous, comparable projects.
iii. Review trade and supplier scopes of work and recommend changes or clarifications.
iv. Assist with budget creation, as requested.
2. Project Start-Up:
An important part of the PM role is ensuring a project is set up for success. This can be achieved through proactively addressing the following project start-up actions and activities:
a. Project Handover and Key Stakeholder Expectations
i. Attend and minute the project handover meeting from Project Development/Pre-Construction to Construction.
ii. Understand and organize the project around stakeholder expectations and objectives (Scope, Quality, Schedule, Budget) as advised by the Preconstruction and Development departments.
b. Site Logistics & Mobilization
i. Assist in creating a site logistics plan.
ii. Organize the procurement and delivery of site trailers, first aid and site security setup.
iii. Coordinate temporary / construction permit applications as required.
iv. Execute site mobilization per the Infinity Playbook.
c. Project Administration
i. Create a trade informed, working construction schedule with the project superintendent.
ii. Organize project kick-off meeting with consultants and establish a project specific process for document control.
iii. Ensure project contact list is complete and distributed to all applicable parties.
iv. Establish required project meetings and cadence.
v. Establish submittal tracking sheet and schedule with the construction coordinator.
vi. Develop relationships with permits and licensing personnel including building inspectors.
d. Financial Management
i. Complete quantity take-offs for various scopes of the project, as required.
ii. Enter approved project budget into Procore and finalize cost coding as required.
e. Safety
i. Safety planning in cooperation with project CSO.
ii. Understand and abide by the requirements of Infinity Properties safety program.
iii. Understand and abide by the requirements of the local building authorities.
f. Trade & Supplier:
i. Procure all trade and supplier scopes of work.
ii. Review and or prepare letters of intent followed by trade and supplier contracts.
iii. Obtain, review and refine proposed schedule of values for trade and supplier progress draws, for final approval by the Director of Construction.
iv. Attend trade start-up meetings to communicate agreed contractual obligations with site teams and Infinity Superintendents.
3. Project Execution & Document Control:
The success of an Infinity project is contingent on managing all aspects of the project execution from the construction start-up to completion. The PM oversees all elements of a project, collaborating with their on-site team with the following responsibilities:
a. Document Control
i. Establish and manage document control process, including:
ii. Maintain record of changes for As-builts.
b. Schedule:
i. Establish and manage the project schedule with the Site Superintendent.
ii. Monitor the project schedule and mitigate schedule changes.
iii. Document progression of work (i.e. photos and logs).
c. Project Execution:
i. Chair key project meetings. In the absence of a construction coordinator, create and distribute the meeting minutes.
ii. Manage the consultant team, ensuring timely execution of submittals, RFI’s, SI’s, Change orders and any other related documentation created or reviewed by the consultant team.
iii. Ensure the operation of the construction site and trade activities are in line with insurance requirements and limitations.
iv. Continually assess risk and potential liabilities to Infinity Properties. Create and execute effective mitigation strategies for potential liabilities or when liabilities arise.
v. Facilitate progression of on-site work in conjunction with the project superintendent.
vi. Administer trade and supplier contracts to a high level, ensuring compliance and full execution of agreed scope of work.
vii. Ensure Infinity Quality Assurance is provided complete, well-built units with minimal deficiencies at time of handover. Assist the site team in inspecting and resolving deficient work, as required.
viii. Oversee the submittal approval process, ensuring all submittals are received and approved per the submittal schedule, with product and labour received on site ahead of or on the required construction start date.
ix. Keep up to date with industry supply chains and potential disruptions. Create and execute mitigation strategies for potential or actual supply chain issues.
x. Ensure on-site daily morning huddles and distribution of daily work plans are taking place.
d. Financial:
i. Be responsible for project accounting, in conjunction with the project accountant, including:
ii. Prepare monthly job cost forecasts and construction update reports for review and approval by the Director of Construction.
iii. Establish and maintain cost control standards as defined by the Director of Construction and ensure efficient spending of Div 1 and ancillary scope budgets.
iv. Prepare and maintain cash flow projections, as requested by the Director of Finance.
v. Review change orders and negotiate fair rates for claimed additional scope as required.
vi. Track and administer back charges as required.
vii. Manage and resolve trade and supplier disputes and claims in a fair, negotiated manner.
viii. Ensure the timely submission of timecards for hourly workers (internal and external).
ix. Manage labour and equipment bill-outs.
x. Manage the PO process, approve vendor invoices.
xi. Trade and vendor Invoice review and approval.
e. Safety
i. Coordinate the implementation of the Project Safety Plan.
ii. Attend site safety meetings and ensure minutes are issued.
iii. Ensure the CSO and project team are abiding by Infinity and WorksafeBC safety requirements.
iv. Understand and abide by the requirements of Infinity Properties safety program.
v. Understand and abide by the requirements of the local building authorities.
f. Trades & Suppliers:
i. Administer all trade and supplier contracts, ensuring compliance and full execution of scopes of work.
ii. Identify, address and resolve trade and supplier performance issues.
iii. Foster good working relationships with Infinity Trade Partners. Ensure fairness and respect are balanced by accountability to trade and supplier contractual obligations.
g. Staffing:
i. Mentor and develop construction coordinators.
ii. Collaborate with and support other Infinity project managers.
iii. Provide opinion and input for potential new hires, as requested.
4. Project Close Out:
Completing a project well is vital to the success of the project and the reputation of Infinity Properties. Proactively managing the following items will help to deliver a quality project and enhance the brand strength of Infinity Properties:
a. Prepare the project close out procedures including final inspections, punch lists, commissioning, and handover requirements.
b. Manage the trade contractor deliverables for project close out, including commissioning, warranties, demonstrations, and start-up requirements.
c. Ensure trade contracts are complete and deficiency free before issuing final payment.
d. Facilitate training seminars of building systems and operation to Owners.
e. Organize and successfully execute City final inspections, in cooperation with the Site Superintendent.
f. Organize and successfully execute final consultant inspections, testing and schedules, in cooperation with the Site Superintendent.
g. Oversee and approve requests for substantial completion, including issuance of certificate of completion, resolution of all outstanding work and deficiencies followed by payment of lien holdback per timeline set forth by the Builders Lien Act.
h. Ensure all certificates of completion are posted on site, per Builders Lien Act requirements.
i. Assist the Customer Care and Warranty department in resolving warranty claims, as required.
5. Project Review:
At the end of a project, the PM will be responsible to complete an analysis of the project to capture constructive feedback and knowledge that will strengthen all future projects Infinity undertakes. This review should be summarized in a written report and include, but not be limited to, the following:
a. Lessons learned
b. Wins
c. Challenges
d. Financial review, including project profit, budget line items, change in scope, owner directed changes, etc.
e. Schedule review
Corporate Strategy
As a Project Manager at Infinity, the PM will spend time working directly with the Owner as well as Directors and VPs of Pre-Construction, Construction, Real Estate, Development and Finance on reviewing, executing on and updating Infinity’s strategic plan. This will include the ongoing review of how Infinity’s core values are being viewed and followed, the execution of their Brand Promises, refining their X-factors and continually reviewing and refining the Sandbox they operate in. They would also be involved in setting and tracking their short and long term goals with the ultimate objective of meeting their corporate BHAG. They will also help in continually assessing Infinity’s success in following their strategy, goals and KPIs.
