Position Summary

BCIT’s School of Construction and the Environment is seeking a temporary, full-time (1.0 FTE) Project Coordinator, Industry Services. This position provides the day-to-day coordination and support of projects for the Industry Services team. Tracks project milestones, ensures the organization and maintenance of project documentation, and provides scheduling support of project-related activities. The Project Coordinator will contribute to project planning, on-going meetings, and the coordination of project partnership engagements. Conducts related environmental scans and compiles findings. Coordinates and tracks the project progress, project spending and outcomes for reporting.

Duties & Responsibilities

  • Supports the Manager and/or designated Project Lead in coordinating the daily project operations, tracking and recording project milestones, timelines and supporting the preparation of documentation and materials.
  • Organizes and maintains documentation related to the projects, including project files, contracts, budget information, memoranda of understanding (MOUs), and other key project documents.
  • Supports partnership engagement through research and outreach of interested parties.
  • Coordinates the meetings and the communications between interested parties, including project partners, industry partners, cross-national post-secondary institutions and training providers, government agencies and internal BCIT departments/teams.
  • Acts as the first point of contact for the project-related general inquiries.
  • Assists in the preparation and delivery of regular project updates and presentations to external and internal interested parties.
  • Conducts environmental scans and research to gather insights and market information/trends related to the project.
  • Gathers, compiles and summarizes information from meetings, research, and reports to help inform project actions, to support decisions in improving educational offerings or to identify new opportunities.
  • Provides regular updates to the Manager and/or designated Project Lead on project activity progress, highlighting outcomes, challenges, conflicts and opportunities.
  • Organizes and coordinates schedules for project-related activities, meetings and events, ensuring activities are aligned to their allocated budget, and there is the most efficient allocation/use of its resources.
  • Coordinates logistics for project meetings, including room bookings, catering, agendas, meeting notes, and other meeting related activities.
  • Collaborates with the Administrative Assistants to monitor financial tracking of the project, ensuring timely and accurate reporting on budgets and expenses.
  • Supports the preparation and submission of monthly, quarterly and annual project reports by compiling and checking information before the Manager and/or Project Lead’s review and submission.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
  • Undertakes other related duties as assigned, consistent with the job grade of this position.

Qualifications

Education
  • Grade 12 plus completion of a post-secondary program of a minimum of two years in duration, including courses in business administration, project management, communications, or related areas.
Experience
  • Two years of general experience plus a minimum of four years’ practical experience in a similar position, preferably in a post-secondary environment.
Software/Computer Application(s) And Expertise
  • Proficiency with computing and internet applications, including all modules of MS Office (Word, Access, Excel, PowerPoint).
  • Demonstrated skills and knowledge of administration, reporting and Content Management Systems, such as Banner, Cognos, etc.
  • Demonstrated skills in Learning Management Systems and applications such as Learning Hub, and WordPress.
Communication/Interpersonal Skills
  • Demonstrates exceptional professionalism and accountability in all aspects of the role.
  • Excellent written and oral communication skills.
  • Demonstrated ability to work independently and on a team.
  • Adept at leading consultative meetings with the ability to discern actionable items through conversations.
  • Highly collaborative and team oriented.
  • Ability to communicate effectively across a team of peers, project partners and proactively with the Manager.

  • Project management experience to be able to effectively plan, coordinate, organize, and communicate initiatives involving internal and external partners.
  • Demonstrated ability to coordinate multiple projects concurrently, from inception to completion, and under minimal supervision.
  • Excellent organizational skills and ability to prioritize competing tasks.
  • Strong problem-solving, critical thinking and conceptualizing skills.
  • Ability to track and plan activities across multiple projects and initiatives.
  • Proficient at accurate meeting minute and note taking and recording key takeaways, action items and deadlines.
Other Skills/Abilities
  • Ability to excel in a fast-paced environment while working on initiatives that have a high degree of ambiguity.

Salary Range
Salary Grade 8: $62,669 - $68,082 per annum. Additional Salary Information: External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
