What You’ll Be Doing

As a Project Coordinator, you’ll be responsible for ensuring project control procedures and policies are executed across a wide range of medium and large-scale projects. You’ll leverage your experience as a project coordinator to ensure all work is appropriate and functioning according to our PMO Governance standards. You’ll work closely with various team members to coordinate a portfolio of projects from end-to-end, providing information for resourcing, budgeting, planning, compliance, tracking financials, and project status.

How You’ll Succeed

  • Project Coordination – Support the Project Managers and Directors throughout all phases of the project management lifecycle. Develop, manage, and control schedules by making continuous updates and mitigation decisions, escalating issues when necessary.
  • Tracking & Reporting – Track progress and make recommendations on response plans for risks, resolution plans, and results on action items.
  • Project Financials – Track and reconcile financials ensuring resolution of anomalies. Update and reconcile ongoing estimates, make recommendations, and escalate when necessary.
  • Project Reporting – Assist with maintaining accurate project reporting. Generate and distribute project status updates. Facilitate timely updates and accurate data entry.
  • Portfolio Governance – Ensure adherence to project risk and governance processes. Partner with Risk & Control Governance groups. Provide regular risk management status reports. Contribute to a lessons-learned database.
  • Operational Support – Manage the PMO SharePoint site, including access control and conduct Privileged Access Reviews. Support onboarding and offboarding processes. Share onboarding documents and ensure smooth transitions. Develop and maintain PMO-specific guidelines and training materials. Track PMO training and manage access permissions. Lead PMO team meetings and schedule meetings with Subject Matter Experts, Stakeholders, and Consultants as required. Participate in various project-related meetings to record action items or decisions for key stakeholders. Maintain project documentation and artifacts in an organized manner.
Who You Are
  • You can demonstrate 3+ years of experience in managing all facets of a project as an IT Project Coordinator or similar role, hands-on experience creating project artifacts and supporting Project Managers. It’s an asset if you have experience with Waterfall/Agile methodology and Enterprise Delivery Framework standards within the Financial Services industry.
  • You have advanced level experience with MS Project, MS SharePoint, JIRA, Confluence, and MS Office including Word, Excel, PowerPoint, and Outlook.
  • You have a degree/diploma in Computer Science. It is an asset if you’re a certified professional. You have current accreditation and good standing in PMP.
  • You have excellent communication skills. You can effectively articulate, negotiate, and present information.
