Job Title: Project Coordinator
Reports to: Project Manager
Location: Office with Regular Site Visits
Job Summary
The Project Coordinator supports the Project Manager by overseeing and coordinating multiple ongoing projects in the door industry. This role involves conducting regular site visits, addressing real-time site issues, managing project quotations, and ensuring field teams follow project plans and safety protocols. The Project Coordinator acts as an operational link between the Project Manager, field teams, and clients, ensuring smooth project execution and effective communication across all stakeholders.
Key Responsibilities
Project Quotations
- Receive and process quotation requests assigned by the Project Manager.
- Analyze project details, including scope, requirements, and timelines, to prepare accurate and efficient quotes.
- Collaborate with the Project Manager to ensure quotations align with company pricing strategies and project goals.
- Submit quotations to clients promptly and follow up on approvals.
- Once approved, transition the project details to the Project Manager for further planning and execution.
Site Coordination and Visits
- Conduct regular site visits to monitor progress, verify adherence to project plans, and ensure quality standards are met.
- Address day-to-day site issues such as assignments, material shortages, or equipment needs, escalating significant concerns to the Project Manager.
- Act as the primary on-site representative for the Project Manager during site visits, coordinating with field teams and site superintendents.
- Ensure field workers, including foremen, technicians, and installers, are adhering to schedules, producing quality work, and following safety protocols.
Communication and Reporting
- Maintain frequent communication with the Project Manager, providing updates on site conditions, progress, challenges, and quotation statuses.
- Relay feedback from site superintendents, general contractors, and field workers to the Project Manager.
- Document site activities, updates, and issues in the project management system to ensure all stakeholders have accurate information.
Problem-Solving and Real-Time Adjustments
- Address minor on-site challenges independently, implementing solutions to keep projects on schedule.
- Collaborate with field teams to ensure smooth workflows and escalate significant issues to the Project Manager for resolution.
Support for Multiple Projects
- Assist the Project Manager in managing multiple projects by handling on-site coordination and addressing immediate concerns.
- Help balance workload and resources across projects by delegating tasks and coordinating manpower effectively.
Safety and Compliance
- Monitor field workers during site visits to ensure compliance with safety protocols mandated by construction sites and company policies.
- Report any safety risks or violations to the Project Manager and ensure corrective actions are implemented.
Team Coordination and Delegation
- Work closely with field workers, including foremen and installers, to ensure their tasks align with the project plan.
- Verify that manpower levels are adequate for ongoing projects and escalate staffing concerns to the Project Manager.
Documentation and Tracking
- Maintain detailed records of site activities, material usage, and progress during visits.
- Update project details in scheduling and project management systems, ensuring real-time accuracy.
Client Interaction
- Represent the company professionally during site visits, maintaining respectful and professional communication with site superintendents and contractors.
- Address basic client inquiries during site visits and defer critical decisions or concerns to the Project Manager.
Quality Assurance
- Conduct periodic checks on-site to ensure that work aligns with project specifications and client expectations.
- Verify the implementation of the Project Manager’s instructions during site visits.
