Position Overview:
The Project Assistant will play a crucial role in supporting the planning, execution, and monitoring of projects within the law enforcement office. This position requires a proactive individual who can manage multiple tasks, communicate effectively, and handle sensitive information with discretion.
Key Responsibilities:
- Assist in the planning, execution, and monitoring of projects within the office.
- Organize project meetings, prepare agendas, and take minutes to ensure all action items are documented.
- Maintain and organize project-related documents, ensuring that all files are up-to-date and accessible.
- Handle sensitive and confidential information, adhering to all legal and organizational confidentiality protocols.
- Input and manage data related to projects using various software and databases.
- Prepare reports and presentations for project updates, ensuring accuracy and clarity.
- Serve as a point of contact for project-related inquiries, directing communications appropriately.
- Collaborate with internal teams and external stakeholders to facilitate project objectives.
- Uphold the highest standards of confidentiality regarding sensitive law enforcement information and data.
- Ensure compliance with all legal, regulatory, and organizational policies related to data protection.
- Provide general administrative support to the project team, including managing correspondence and maintaining schedules.
- Assist with budget tracking and expense reporting related to projects.
Qualifications/Requirements:
- High school diploma required; post-secondary education in administration, criminal justice, or a related field is preferred.
- Previous experience in a project support or administrative role, preferably within a law enforcement or government setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with project management software.
- Strong understanding of the importance of confidentiality, particularly in handling sensitive law enforcement information.
- Exceptional attention to detail and accuracy, with a commitment to producing high-quality work.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills; ability to interact professionally with a diverse range of stakeholders.
- Capable of identifying challenges and proposing effective solutions within project parameters.
- Ability to work independently and collaboratively as part of a team.
