As part of the Banner Business Transformation (BBT) Program, the BBT Program Manager will support the Senior Director of ERP Systems and Business Transformation in program governance, integrated project planning, and the development and implementation of processes, procedures, and tools (such as Smart Sheet, MS Project, other). This role involves program and project reporting (KPIs), project management process enhancements, and best practices to ensure all projects within the BBT scope achieve their outcomes holistically.
The BBT Program Manager will collaborate with all BBT Stream Leads, Solution Integrators (SIs), and Solution Providers, utilizing Program and Project Management methodologies, Change Management, Lean Six Sigma, and other disciplines. They will provide advice and counsel to BBT Program leadership and project teams.
What you’ll be doing:
Governance and Oversight
- Support project governance within the Program, ensuring adherence to governance policies and protocols.
- Apply consistent project methodology and standards, working with Project Managers to identify and escalate project and Program risks and issues.
- Advise on, define, promote, and maintain project management standards and best practices.
- Recommend and implement program and project Key Performance Indicators (KPIs).
- Identify and resolve issues across projects and Program work streams.
- Own the program RAID process (Risks, Assumptions, Issues, Dependencies).
- Coordinate project-level inputs with project leads, ensuring alignment with BBT risk/issue management protocols.
- Proactively identify challenges within the Program and engage with partners and stakeholders to find solutions.
- Ensure established processes are followed to drive efficiency and consistency.
- Support the change control process, acting as the central contact for change request submissions and reviewing them for completeness.
- Track overall change request related spend to maintain visibility of program changes.
Program and Project Delivery Support
- Collaborate with and support Project/Stream Leads on Project Management requirements.
- Support the coordination of program benefits by identifying, validating, and tracking business outcomes and benefits with key stakeholders.
- Own the BBT integrated plan, schedule, and roadmap.
- Oversee the update processes for the integrated project plan and schedule.
- Manage the configuration and maintenance of Smart Sheet, MS Project, and Jira.
- Gather and synthesize overall project status within the program to ensure integrated results and critical timelines are met.
- Monitor and report on program health to provide transparency on program and delivery of value.
- Provide project management assistance and support to program and project leadership.
- Lead resource planning and scheduling to create visibility of resource capacity and availability.
- Mentor BBT project management and business analyst team members on program and project management.
- Support the identification and tracking of BBT project change impacts for effective Organizational Change Management (OCM).
- Ensure effective alignment, integration, and control of the Program’s projects through the creation and maintenance of an integrated project schedule.
- Understand how decisions at the project or Program level impact various teams and operational goals.
- Maintain regular reviews of program risk and issues logs.
Measurement and Reporting
- Ensure effective project controls are in place to monitor program and project performance.
- Implement enhanced reporting capabilities, including the development of program dashboards across schedule, cost, scope, and risk management.
- Measure and publish impactful updates on project and program performance.
- Monitor and report on overall Program funding and health.
- Support the Program Manager throughout the Program's lifespan to ensure everyone is informed of project status, risk mitigation, and outstanding issues.
- Track program financial activities and support the invoice reconciliation process in collaboration with Mohawk's Finance Analyst.
- Monitor and update budget-to-actuals tracking.
- Support the development and management of the BBT program forecast.
- Lead periodic Program risk assessments.
Process Improvement
- Identify and implement innovative project methodologies across the program.
- Collaborate with the Enterprise PMO to promote improved methods for project delivery and continuously seek to implement best practices.
- Provide guidance on policies and processes, researching best practices within the industry.
- Develop and conduct internal training sessions for the BBT program team.
- Facilitate Lessons Learned for key Project and Program milestones and enact changes based on these lessons.
- Provide support to adjust any aspect of the projects to ensure success.
- Lead periodic evaluations of project approaches with Project Stream Leads.

What you’ll bring to the role:
- A University degree in a business or technology discipline and a PMP/PgMP certification; or equivalent combination of education and experience.
- A minimum of 10 years of experience leading and managing complex programs involving multiple projects, workstreams, and diverse teams.
- Familiarity with IT infrastructure, applications, and cloud projects; experience in Higher Education is a considered an asset.
- Strong interpersonal and motivational skills to lead teams and influence stakeholders effectively.
- Focus on managing execution, handling dependencies, and meeting deadlines under pressure.
- Adaptability to manage multiple projects and learn new technologies and methodologies.
- Ability to work under pressure, meeting competing deadlines for multiple projects.
- Strong service orientation, with the ability to recognize and assess the operational significance of issues/problems.
- Ability to lead, supervise, motivate, and coach Project Management staff.
- Project Management Tools : Proficiency with Smart Sheets, MS Project, Jira, and similar tools for creating and managing project timelines, resources, and tasks. Ability to customize these tools to meet specific project needs.
- Program & Project Charter Creation : Ability to craft comprehensive project charters that define project scope, objectives, timelines, and resource requirements. Expertise in developing detailed project plans with clear milestones and deadlines.
- Change Management : In-depth knowledge of change management models and practices, with experience in leading change initiatives across business and technology teams. Ability to communicate and manage the transition to new processes, systems, or technologies.
- Risk Management : Strong ability to identify, assess, and mitigate project risks, ensuring timely resolution of issues that may impact project success. Proactive in identifying potential bottlenecks or gaps and addressing them early.
- Estimation & Scheduling : Skilled in creating accurate project timelines, managing resources efficiently, and ensuring the project stays within scope, time, and budget constraints. Expertise in prioritizing competing project requirements.
- Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
- The ability to communicate and work effectively with diverse students, employees, and communities.
