JOB TITLE: Program Assistant, Corporate Asset Management (CAM)

DEPARTMENT: Corporate Support Services

NUMBER OF POSITIONS: 1

JOB STATUS & DURATION: Temporary 3-months

HOURS OF WORK: 35-hour workweek

LOCATION: Hybrid Model – when working onsite, you will report to the location of City Hall.

HOURLY RATE: $21.48 per hour

JOB TYPE: Management and Administration

AREA OF RESPONSIBILITY:

Reporting to the Manager, Corporate Asset Management/Treasurer, provide project, program, and/or administrative support to the Corporate Asset Management team within the Finance division. Ensures efficient and effective delivery of programs and services by providing direct functional support in a specialized/technical area of work, and responds to inquiries received by the section/division.

  • Provide program assistance and support for divisional initiatives, programs, processes, projects, and events
  • Respond to customer inquiries/concerns and provide information regarding programs and services to meet divisional service standards
  • Independently fulfills administrative and program duties as related to area of work, including correspondence, documentation, minute taking, preparing memos and reports, presentations
  • Supports Corporate project leads in the planning, coordination, implementation, and evaluation of divisional policies, programs, special events
  • Participates in working groups and brainstorming sessions to provide input, ideas, insights
  • Assist with data entry and database management (data audits, reconciliations, etc.)
  • Perform qualitative/quantitative research and analysis in a technical and/or specialized discipline to identify trends, industry best practices, and opportunities for continuous improvement
  • Communicate and follow up with business partners (internal and external) to complete tasks/projects on time
  • Prepares project/program updates for review by management
  • Maintain confidentiality based on the requirement to access and maintain sensitive sectional or divisional and organizational communication, reports, materials and records
  • Maintain an understanding of department programs and services
  • Understand, adhere to, and enforce Corporate Policies & Procedures, Confidentiality Guidelines, Emergency Procedures and Health and Safety Standards for all participants and staff
  • Attend meetings/training as required

SELECTION CRITERIA:

EDUCATION:

  • High school (Grade 12) graduation plus working towards an Undergraduate Degree and/or Post-Graduate Degree in Business, Marketing or post graduate certificate in related field

REQUIRED EXPERIENCE:

  • 1-2 years of related experience

OTHER SKILLS AND ASSETS:

  • Demonstrated working knowledge of discipline specific principles
  • Effective customer service skills
  • Ability to prioritize and excellent time management and organizational skills
  • Practical knowledge of applicable software(s) within discipline
