Job Title: Program Assistant
Location: St. John’s, NL
Position Type: 1 full-time position

The Program Assistant is responsible for providing administrative support to ensure the efficient operation of the team. The incumbent will provide support to team members through a variety of tasks related to organization and communication and will ensure that these tasks are completed in an efficient and timely manner.
Roles and Responsibilities:
- Coordinating and supporting program volunteers
- Coordinating and supporting interpreters and translation services
- Creating and distributing project materials, including flyers, brochures, and handouts
- Responding to client inquiries and providing information and assistance
- Maintaining, managing, and organizing client records and files as well as immigration documents and other important paperwork
- Assisting with coordinating and scheduling workshops and events
- Answering and directing phone calls, emails, and other correspondence
- Assisting with sorting mail and other deliveries for clients
- Scheduling and coordinating meetings, appointments, and travel arrangements
- Assisting with ordering and maintaining office supplies and equipment
- Providing administrative support to settlement counselors and other staff members/departments as needed
- Maintaining databases and other digital records
- Coordinating and scheduling settlement services, such as language classes and employment counseling
- Working closely with other teams at ANC to deliver all of the above services
Qualifications and Experience:
- Diploma in Office Administration (equivalencies will be considered)
- Front-line customer service experience
- Ability to effectively engage with a variety of stakeholders, both internal and external
- Strong interpersonal and communication (both written and oral) skills
- Knowledge of specific issues facing refugees and immigrants
- Ability to multitask, meet deadlines, and work in a fast-paced environment
- Knowledge of Microsoft Office Suite
- Ability to speak a second language is an asset
Conditions of Employment:
- Legal authorization to work in Canada
- Flexible to work outside of core hours (Monday-Friday, 9:00am - 5:00pm)
- Position is subject to a satisfactory Criminal Record Screening and Vulnerable Sector Check from the Royal Newfoundland Constabulary
