Your opportunity:

The Program and Outreach Coordinator, Undergraduate Programs provides support to the academic programming for undergraduate students of the department. The Coordinator provides information about undergraduate program and course eligibilities and requirements; checking completeness of applications, and general student program support. The Coordinator supports a variety of events and outreach programs, such as a student-alumni mentorship program, the First-Year Learning Communities Program which provides first-year students with the opportunity to meet classmates, grow friendships, form study groups, and develop academic and personal skills, and serves as departmental liaison with the Arts & Science Internship Program (ASIP), and to expand on the services currently offered to our undergraduate students.

Your responsibilities will include:

  1. Acting as the first point of contact for students and providing detailed explanations to current and prospective undergraduate students.
  2. Advising students on program and/or course requirements by probing and providing a range of options and possible consequences.
  3. Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines, outreach to prospective students.
  4. Coordinating the recruitment of teaching assistants and invigilators.
  5. Disseminating information regarding recruitment dates, requirements and application procedures, checking completeness of applications.
  6. Providing information to undergraduate students on future pathways to research opportunities, graduate program and career pathways.
  7. Determining logistical details and activities for events and/or programming; liaising with internal and external contacts to coordinate execution of seminars and workshops.
  8. Supporting undergraduate student experiential learning activities by providing information to students of programming; delivering presentations to promote programs, opportunities and/or initiatives including mentorship program.

Essential Qualifications:

  1. Bachelor's Degree or acceptable combination of equivalent education and experience.
  2. Minimum three (3) years relevant experience with student services and program administration. Prior relevant experience administering undergraduate programs and student internship/outreach programs is required.
  3. Experience advising students.
  4. Experience planning and coordinating student outreach initiatives, special events and workshops.
  5. Experience working with student information databases or equivalent, including data entry and preparing reports.
  6. Demonstrated ability to edit promotional material.
  7. Knowledge and experience using social networking tools on behalf of an organization.
  8. Demonstrated advanced skills in Microsoft Office including Excel, PowerPoint, Access, and Word.
  9. Excellent oral and written communication skills and interpersonal skills.
  10. Customer service-focused on the needs of internal and external stakeholders.
  11. Strong organizational and time management skills to manage a variety of tasks and meet overlapping deadlines.
  12. Demonstrated ability to work independently and collaboratively within a team-oriented environment.

  1. Knowledge of and familiarity with academic and professional communities relevant to programs are valuable.

Pay Scale Group & Hiring Zone:
USW Pay Band 10 -- $70,844. with an annual step progression to a maximum of $90,595. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
