ADGA has an immediate opportunity for an Administrative Support Clerk to join one of our major Defence programs in Gatineau!
In this role, you will provide the services of a Subject Matter Expert (SME) to support the administration of the Land Command Support System MD (Mobile Domain) Program and the Tactical Communications Modernization (TCM) project:
Duties will include:
- Provide day-to-day financial and administrative embedded support to our client in the execution of the LCSS MD program.
- Assist in the coordination of “statements of work” and associated tasking/procurement documentation.
- Provide administrative support and coordination services for MD meetings, steering committees, and working groups.
- Support travel request processes and other similar routine administrative procedures, including request tracking and reporting.
- Coordinate financial code distribution for temporary duty (TD) claims and minor travel expense claims.
- Maintain a travel tracker.
- Support the coordination of training activities.
- Maintain status of program action items.
- Maintain MD program consolidated work breakdown structure.
- Coordinate and maintain status of procurement initiation requests and spending authorization forms (SAFs) against WBS serial numbers.
- Support quarterly spending forecasts, reports and returns.
- Support responses to financial audit queries.
- Produce financial reports as required.
- Monitor DRMIS (Defence Resource Management Info System) and report National Procurement funded, and Capital funded financial activities and spend status.
- Liaise and coordinate routine cost centre management activities with cost centre managers and the Business Management Team.
Qualifications
- Must be able to provide proof of a Secondary School Diploma (it would be an asset to have a College Diploma in Business Administration or similar program).
- At least 24 months (2 years) of demonstrated experience in each of the assessment areas:
- Developing briefing notes and presentations to address administration issues.
- Consulting with stakeholders to support administration requirements for the organization.
- Providing advice, guidance, and recommendations on administration issues to support the decision making of senior management.
- At least 36 months (3 years) of demonstrated experience within the last 60 months (5 years) in the preparation of technical concept documents, system specifications, and technical proposals in the field of information technology, information management or engineering.
- At least 36 months (3 years) of demonstrated experience in the last 60 months (5 years) in a minimum of 4 of this assessment area’s criteria below:
- Using MS Office Suite (Word, Excel, Access, Outlook, and PowerPoint).
- Providing Administrative assistance, including building pass preparation, filing and project documentation control.
- Processing travel including car rental, accommodation and flight booking.
- Performing cost accounting such as tracking of project expenses including travel budgets, claims and verification of invoices.
- Performing work accounting functions including time tracking, timesheet verification, report generation and database updating.
Additional Information
- Must hold a valid PSPC Secret level clearance.
- Will be required to work on-site full time, in Gatineau. (other possible locations as needed in NCR)
