Under the direction of the Director, Project Management provides administrative support to the Surface Vessel Production & Planning Staff.

Note: Due to business needs, this position is required to be fully on-site based at 825 Admirals Road, Victoria.

What You’ll Do
  • Issue work instructions for all projects including Surface Fleet, Commercial, Babcock, Coast Guard and the Submarine.
  • Prepare Project spreadsheets/reports.
  • Coordinate yard services for all vessels in the yard.
  • Handle commercially sensitive information and correspondence in confidence.
  • Provide administrative support for the Senior Production and Project Managers as required.
  • Enter purchasing orders into P2P for Project Managers as needed.
  • Assist Program, Project, or Productions Managers in controlling Surface Fleet project documents (including 1379’s, filing incoming/outgoing emails, scanning, making copies, faxing, taking dictation, operating computer, and assisting visitors to the office).
  • Liaison for Security/Subcontractor/Site access.
  • Perform various clerical duties including filing, ordering & maintaining inventory of office supplies, and updating the index.
  • Lays out and types from rough draft or verbal instructions a variety of materials including correspondence, various reports, and minutes of meetings.
  • Support Program Office administrative requirements as per request.
  • Track office vacation schedule as needed.
  • Assist other departments when capable as needed.
  • Other duties as required.

What You’ll Bring
  • Grade 12 or equivalent with 5 years of office experience in a Project Environment.
  • Advanced knowledge and experience in the MS Office Suite (Word, Excel, Outlook, PowerPoint, and OnGuard).
  • Ability to work independently with a high level of problem-solving skills.
  • Strong oral and written communication skills.
  • Ability to cooperate and communicate efficiently with both internal and external stakeholders.
  • Familiarity with digital data manipulation.
  • Strong attention to detail.
  • Strong problem-solving and analytical skills.
  • Ability to work under pressure and independently.
  • Detail-oriented.
  • Demonstrated ability to multi-task and prioritize.
  • Ability to work with minimum direction.
  • Ability to uphold company policies and maintain confidentiality of shipyard projects and other varied information.
  • Knowledge of Shipyard practices is preferred.

Pay: Starts at $29.79/hr (rate increases to $33.11/hr after the probation period).

This is a unionized position and pay rates for this position are set out in the applicable collective bargaining agreement. The rate stated above is the starting rate for this position. It increases after the probationary period and continues to progress over the course of 12 months as per the collective agreement.
