About the Role:

The Procurement Coordinator is responsible for the procurement related activities required to support Procurement Services, specifically for purchases of materials and supplies for the Facilities Management department. The position establishes and maintains collaborative agreements for related goods, manages supplier relationships, sourcing, quoting and ordering of non-inventory requirements. Additionally, the Procurement Coordinator manages and maintains inventory replenishment in Central Utility Building (CUB) stores.

The Procurement Coordinator will:

  • Explore relevant collaborative procurement agreements, establishing or reviewing pricing under those agreements and conduct second stage processes as necessary;
  • Coordinate signing of Customer-Supplier Agreement (CSA)’s to establish supplier contracts in accordance with these agreements;
  • Maintain the CUB Stores office by managing inventory items, creating Purchase Orders for inventory replenishment, creating receipts for ordered goods, expediting backorders, performing annual/cycle inventory counts, and preparing reports on various metrics;
  • Provide procurement support for Facilities Management and CUB Stores by sourcing and obtaining quotes, issuing purchase orders, developing request for quotes (RFWs), liaising with suppliers, and receiving and verifying delivered items;
  • Review university contracts on an annual and end of term basis, monitor and review contract terms and length of contracts, and ensure payments are made in accordance with provisions of the contract;
  • Monitor and address performance issues with suppliers and manage disputes throughout the life of the contract;
  • Assist Buyers with the development of Request For Proposals (RFPs) and related competitive bid processes in accordance with the Procurement Policy, Broader Public Sector Procurement Directive and applicable trade agreements;
  • Assist in the oversight and replenishment of bulk fuel tanks and other chemicals, handling the documentation, scheduled deliveries and/or ordering and processing of the invoices.

Key Skills and Experience:

  • Post Secondary diploma/degree in Business or Supply Chain Management and relevant experience in Procurement or Inventory Management, or an equivalent combination of education and experience;
  • Knowledge of the Broader Public Sector Procurement Directive, Canadian Free Trade Agreement (CFTA), Canada European Trade Agreement (CETA) and other applicable agreements;
  • Knowledge of inventory management systems and processes, and maintenance equipment and supplies;
  • The physical ability to lift when unpacking and putting inventory away;
  • Solid computer competency including word processing, Excel, Outlook, web application, and ERP systems;
  • Strong interpersonal, customer service and communication skills;
  • Ability to resolve problems and respond to inquiries with tact, diplomacy and patience;
  • Strong attention to detail, accuracy and analytical skills;
  • Excellent organizational and prioritization skills, with the ability to multi-task to meet deadlines.

Preferred or Asset Skills:

  • Diploma or Certification in Procurement and/or Supply Chain Management is preferred;
  • Related experience in an inventory or procurement environment.

Salary and Total Rewards:

  • Job Grade K, Salary Scale ($57,400-$98,400);
  • Target Hiring Range: $57,400-$64,000 ;

This is a permanent position that includes:

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
