POSITION SUMMARY:

The mandate of the role is to provide ongoing administration oversight of the entire Mortgage portfolio, by delivering high-quality service and efficient processes to the Bank’s Clients and internal departments to keep pace with growth and evolving business needs, as well as ensure the Bank’s collateral continues to be sound and secure by completing processes in accordance with the Bank’s policy.


MAJOR ELEMENTS OF THE ROLE:

Specific accountabilities of the job include:

  • Receive, categorize, and scan incoming mail and cheques.
  • Check the client's mailing address on the internal systems and redirect the returned mails to the correct mailing address.
  • Generate and quality check the communication letters and coordinate with the external vendor, to ensure smooth distribution of the letters/correspondence.
  • Coordinate timely signatures from management and dispatch the document to the legal professionals within established Service Level Agreements, for the prepared discharge documents.
  • Reconcile the cheques/payments, scan and upload the documents in the internal systems and dispatch it to the respective legal professionals or clients.
  • Review all paid out files and ensure the reason of repayment is validated and close the file on the internal system by uploading the final registered discharge document.
  • Provide administrative support to the port admin team on daily basis.
  • Update and maintain databases, ensuring accuracy and confidentiality.
  • Process ad hoc management requests.

SKILLS AND EXPERIENCE REQUIRED:

  • A University Degree or College Diploma
  • Progressive related experience, preferably in Financial Services
  • Knowledge of residential mortgage products and the Bank’s policies and business processes an asset
  • Proven experience in an administrative or similar role
  • Solid technical skills in Excel, Outlook, Word, Access
  • Bilingual (French and English) an asset
