Job description

Purpose:
The Personal Assistant will work directly with the President & CEO, providing administrative support and reliable transportation to meetings, events, site visits, and appointments. This role requires strong organizational skills, discretion, and the ability to adapt in a fast-paced environment. The ideal candidate will be detail-oriented, professional, and capable of managing both personal and professional tasks efficiently. Proficiency in French is an asset.

Responsibilities:

  • Manage the President’s daily schedule, including appointments, meetings, events, and travel arrangements.
  • Act as a primary point of contact, coordinating with internal and external stakeholders on behalf of the President.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Drive the President to various locations, ensuring punctuality and safe transportation.
  • Ensure the President is well-prepared for all engagements, including assembling necessary materials.
  • Assist with administrative and personal tasks as needed, such as booking reservations, running errands, and managing correspondence.
  • Handle occasional after-hours requests and travel support as required.

Requirements:

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Excellent organizational and time-management skills with a proactive approach.
  • Strong attention to detail and problem-solving abilities.
  • Outstanding communication and interpersonal skills.
  • High level of confidentiality and discretion.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Valid driver’s license and a clean driving record.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to speak French is an asset.

Preferred Qualifications:

  • Experience managing an executive’s schedule and travel arrangements.
  • Ability to remain composed and professional under high-pressure situations.
  • Flexibility to accommodate changing schedules, including evenings and weekends.
  • Professional appearance and demeanor at all times.
