Located in Toronto, the Art Gallery of Ontario is one of the largest art museums in North America, attracting approximately one million visitors annually. The AGO Collection of more than 120,000 works of art ranges from cutting-edge contemporary art to significant works by Indigenous and Canadian artists and European masterpieces.

We are currently seeking a Payroll Specialist to join our Total Rewards team. Under the direction of the Manager, Total Rewards, the incumbent will be responsible for ensuring the accuracy and integrity of all payroll data by performing detailed reconciliations of payroll accounts and reports. This role is crucial for identifying and resolving discrepancies between payroll records, financial systems, and bank accounts. The Payroll Specialist works closely with the payroll and finance teams to ensure that payroll is accurately recorded, processed, and compliant with company policies and external regulations. This position plays a critical role in ensuring that the payroll system is efficient, user-friendly, and aligned with company objectives, legal regulations, and best practices.

What is this position responsible for?

  • Provide support to Workday payroll system ensuring all payroll reconciliations comply with regulatory requirements, including tax laws, labor laws, collective agreements, and company policies. Key liaison for integration across various business lines across the Gallery.
  • Perform reconciliations and resolve discrepancies of payroll data, including salaries, benefits, deductions, and taxes to ensure accuracy and completeness. Troubleshoot system issues and resolve payroll processing errors. Serves as a subject matter expert on payroll reconciliation.
  • Monitor that provisions of the collective agreements are adhered to and that policies and procedures with respect to payroll, timekeeping, and attendance processes are consistently applied.
  • Oversee the generation of payroll-related reports, ensuring that they are accurate, timely, and meet regulatory requirements.
  • Identify opportunities to improve payroll processes, streamline operations, and enhance data accuracy. Provide training and ongoing support to payroll staff and other relevant personnel on system functionality, new features, and best practices.
  • Develop and implement reporting tools within the payroll system to support HR and finance decision-making, including custom reports as needed.
  • Perform other duties and projects as assigned.

What are we looking for?

  • Bachelor’s degree in accounting, finance, human resources, or related field (preferred).
  • Payroll certification (e.g., Certified Payroll Professional – CPP) is a plus.
  • Minimum of 5-7 years of experience in payroll administration.
  • Experience with Workday payroll software and HRIS system.
  • Experience with system integrations between payroll, HRIS, time and attendance, and financial systems.
  • Experience processing payroll in a unionized environment.
  • Strong knowledge of payroll laws and regulations (federal, state, and local).
  • Strong attention to detail with excellent problem-solving abilities.
  • Ability to manage multiple priorities and meet tight deadlines.
  • Proficient in Microsoft Excel and other payroll-related software tools.
  • Excellent analytical, problem-solving, and troubleshooting abilities.
  • Strong understanding of payroll processes, compliance, and tax regulations.
  • Strong organizational and time-management skills.
