Job description

The Accountant I - Data Entry (Junior Accountant) under the direction of the Manager, Finance will be responsible for the accurate, efficient, and timely recording and reconciling of accounting data. The role is privy to sensitive, and private information and requires a high degree of integrity, accountability, and confidentiality. The incumbent will be an excellent communicator as they will work closely with Motor Coach Operators, Duty and Operations Manager(s) and the payroll team.

TERM POSITION: February 2025 - January 2026

Key Responsibilities

The Accountant I - Data Entry will provide support to the Billing, Payroll, and AP/AR teams by ensuring accurate and timely data entry of financial transactions into the accounting system. The Data Entry Clerk may also assist with invoice processing, record keeping, and other administrative tasks as required.

The Key Duties And Responsibilities Are As Follows

Payroll

  • Enter employee hours and payroll data into the accounting system.
  • Verify the accuracy of employee time sheets and other payroll information.
  • Troubleshoot and work with supervisors on time sheet issues.
  • Maintain confidential information and adhere to legal and ethical standards.
  • Participate in required meetings providing input and recommendations.
Billing

  • Assist with processing invoices by verifying completeness and accuracy of invoice data.
  • Follow up with team members to obtain missing or incomplete information.
  • Ensure that all third-party charges are included on invoices.
  • Build manual invoices or Excel supporting documentation as required.
  • Verify timing of trips that were prepaid to determine whether additional charges are required.
  • Train and assist team members with accurate method of input of invoice items.
AP/AR

  • Enter and record financial transactions in the accounting system.
  • Reconcile accounts payable and accounts receivable ledgers to ensure accuracy.
  • Track budget expenses and maintain financial records.
  • Retrieve data for team members upon request.
  • Perform data searches and ensure compliance with security backups and regular checkups.
  • Support the company in data entry and other administrative tasks as required.
General

  • Ensure all data is entered accurately and timely.
  • Meet established deadlines and work collaboratively with team members.
  • Maintain a high level of accuracy in data entry and record-keeping.
  • Comply with all company policies and procedures.
  • Provide support to the accounting team as needed.

Your Qualifications & Experience

  • Working toward an accounting or payroll certificate an asset.
  • Proficient with Microsoft Office Professional including Word, Excel, and Outlook.
  • Basic accounting or payroll knowledge required.
  • Strong attention to detail and possess a high level of accuracy.
  • Integrity, sound judgment and positive decision-making skills.
  • Ability to work under pressure, multitask, prioritize, and meet deadlines.
  • Must be able to handle confidential information in an ethical and professional manner.
  • Excellent verbal and written English communications skills.

Location: Work from the office during probation and any accommodation for work from home, is at the discretion of the manager based on the job requirements, tasks and operational needs; Must be based in Edmonton, Open for Airdrie, Medicine Hat, Kamloops, and Burnaby/Delta.
