Payroll Coordinator

We are seeking a detail-oriented and experienced Payroll Coordinator to manage payroll for a dynamic mining workforce, including employees working rotational schedules. This role ensures accurate and timely payroll processing while maintaining compliance with all company policies and employment standards. The successful candidate will work closely with HR, Finance, and Operations to support payroll administration in a fast-paced mining environment.

Key Responsibilities

Area 1:

  • Ownership of the payroll function for Cote Gold.
  • Process and administer bi-weekly payroll, including calculations of earnings, deductions and bonuses.
  • Review payroll for accurateness and reasonableness before sign-off by authorized signatories.
  • Ensure all employee data is up-to-date in the payroll system, including new hires, terminations, promotions, and adjustments received from the Human Resources team.
  • Maintain a thorough understanding of federal and provincial tax laws to ensure accurate deductions and tax filings. Prepare and submit necessary tax documents and payments.
  • Process adjustments such as vacation, sick leave, overtime, and other changes to employee compensation, ensuring accuracy and compliance with company policies.
  • Coordinate the integration of employee benefits deductions (health insurance, retirement plans, etc.) into payroll processing.
  • Ensure all employee hours are accurately tracked and approved in the timekeeping system prior to payroll processing.
  • Assist with year-end reporting and audits, ensuring all necessary documentation is available for review and filing.
  • Assist with payroll system updates, troubleshoot issues, and work with IT or external vendors as needed to ensure smooth payroll processing.
  • Act as the first point of contact for employees regarding payroll questions, discrepancies, and concerns, providing timely resolutions and clear feedback.
  • Receive payroll input for hourly employees on a bi-weekly basis and submit for payment.
  • Review payroll registers for accuracy.
  • Preparation of payroll journal entries for pay run.
  • Maintain timesheet software.

Area 2:

  • Coordinate monthly and year-end processing of reports and reconciliations.
  • Monthly reporting as related to salaries and related costs.
  • Year-end tax remittance processing.
  • Obtain clearance letters for quarterly WSIB submissions.
  • Develop methods for auditing payroll processes and ensure results without errors.

Area 3:

  • Communication with government agencies relating to payroll, such as phone calls, emails and information requests.
  • Liaise with managers regarding employee concerns.
  • Other duties as assigned from time to time.

Qualifications

Minimum Requirements and Nice To Haves

  • College Diploma in Administration or related field.
  • Canadian payroll certification.

Work experience - Nature & Length

  • Minimum 5 years of payroll experience.
  • Experience with an industrial setting with various shift rotations.
  • Knowledge of UKG and Nethris is preferred.
  • Strong understanding of payroll procedures, laws (such as Ontario Employment Standards) and employee benefits.
  • Basic accounting fundamentals.
  • Ability to process a large volume of transactions with no errors.
  • Advanced working knowledge of all major business software programs, and a high level of proficiency with MS Office.
  • Good time management skills with an ability to manage multiple tasks and deadlines.
  • Strong attention to detail and accuracy in data entry and calculations.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong interpersonal skills and the ability to communicate effectively with employees at all levels.
