The Night Auditor is responsible for overseeing the front desk operations during the overnight shift, ensuring smooth hotel operations, and handling various administrative tasks such as checking front office accounting records for accuracy and daily summarizing and compiling information for the hotel's financial records, tracking room revenue, occupancy percentages, and other front office operating statistics. They are also required to prepare a summary of cash, cheque, and credit card activities, reflecting the hotel's financial performance for the day. The Night Auditor also posts room charges and room taxes to guest accounts including guest transactions not posted during the day by the front office cashier.
The Night Auditor is also responsible for the security of the guests and the building during the night.
Reports to: Front Desk Manager or designate
Responsibilities
- Provide a warm, friendly, and professional environment for our guests and team
- Responsible for guest check-ins and check-outs
- Maintain rooms inventory, reservations, and room assignments
- Posts room charges and taxes to guest accounts
- Post charges to the guest accounts that have not been posted or were incurred on the NA shift
- Transfer charges and deposits to master accounts
- Reply to all guest inquiries (in-person, phone, email) in a timely and effective manner
- Assist with luggage, storage, package delivery
- Observe and report security issues
- Proper observance of security checklists
- Acting Fire Captain until such time as relieved of duty by Fire Department, Chief Engineer or Executive Member
- Checks to see that all charges are assigned to the appropriate departments
- Verify that all transactions performed at the front desk are supported by documentary evidence and signatures as necessary and that they have been correctly posted and allocated in the PMS system
- Verify that all charges posted from the POS Software, SPA software have reached the correct guest folios and are not missing
- Print and file reservations for the next business day
- Verify all account postings and balances
- Verify that room rates are correct and post those rates to guest accounts
- Monitor the current status of coupon, discount, and other promotional programs
- Can function as a front desk agent especially in terms of check-in and check-out procedures
- Track room revenues, occupancy percentages, and other front office statistics
- Guest room deliveries as requested
- Ensure Front Desk area is tidy, organized, and presentable
- Other duties as assigned to support operational needs and team objectives
Job Requirements
- Valid Canadian Class 5 driver’s licence is required
- Strong interpersonal and communication skills
- Reliable, punctual and excellent attention to detail
- Excellent time-management
- Adaptable to the demands of the day while maintaining company standards
- Must have flexibility to work a variety of shifts, including early mornings, evenings, weekends, and holidays
