Order Administration Coordinator - Contract

The primary responsibility of the Order Admin Coordinator is to oversee and manage the processes needed to initiate, create, and pass Sales orders, Technical Support orders, and Internal orders to Manufacturing. This includes ensuring fulfillment, shipment, and completion, ultimately leading to invoicing for the Finance department.

Who you report to: Manager, Order Administration

Work Lane: Primarily Work from Home (PWH)

Some of the things you will work on:

  1. Order Processing: Enter, distribute, and invoice orders and technical support/sales orders using various ERP systems.
  2. Shipping: Manage daily shipping activities, track shipments, handle manual commercial invoices, and coordinate with customs brokers.
  3. Communication: Liaise with internal teams (Tech Support, Shipping, Purchasing, Finance) and external partners (Customers, Freight Companies, Customs Brokers).
  4. Returns and Demo Equipment: Process returns and assist with demo equipment paperwork.
  5. Reporting: Generate daily, weekly, and monthly OA activity reports and ensure accurate system reporting.
  6. Time Management: Handle fast-paced, time-sensitive tasks.
  7. Order Handling: Manage domestic and international orders, including technical support cases in Salesforce.

You should have experience with:

  1. A working knowledge of MS Word, MS Excel, Outlook (E-Mail) programs.
  2. A good knowledge of Salesforce and a variety of ERP Systems experience is an asset.
  3. An understanding of NAFTA/Customs/Intercoms is an asset.
  4. Excellent attention to detail with solid data entry skills.
  5. Concise written skills.
  6. 2-3 years’ experience in an office setting.
