JLL is seeking an Operations Manager who will report directly to the General Manager. The primary responsibilities will be to ensure the entire property including land is maintained to the client’s standards.

WHAT YOU’LL BE DOING

  1. Perform daily inspections of buildings and land, ensuring the General Manager and Property Manager are kept updated on any discrepancies and the remedy;
  2. Monitor, mentor, coach and develop direct reports, ensure adherence to policies and procedures, provide recognition, evaluate and provide feedback on performance, address performance concerns and resolve problems;
  3. Document and arrange for appropriate remedial work using the company purchasing/procurement guidelines;
  4. Prepare and execute yearly expense budgets, including recoveries and knowledge of CAPEX Amortizations for annual accelerations if applicable;
  5. In collaboration with procurement, negotiate and manage all service contracts;
  6. Oversee the budgeting and management of all operations contracts;
  7. Develop, implement and manage Major Capital Expenditures program;
  8. Prepare monthly forecasts, variance reports and complete year-end expense accruals;
  9. Maintain and monitor controllable expenses including purchasing and inventory of supplies;
  10. Develop and manage energy management program including metering systems;
  11. Manage, oversee and approve all utilities expenses;
  12. Manage all aspects related to the tenant water and hydro metering and billing;
  13. Develop and manage all aspects of ESG/sustainability, including recycling program, organic waste and diversion targets set for the property;
  14. Prepare purchase orders and get competitive quotes when required pursuant to the purchasing guidelines;
  15. Lead their team in providing the highest levels of service to all customers with whom they interact, whether internal or external, with the goal of continuously improving the customer experience;
  16. Champion programs for increasing employment engagement, communications and people development;
  17. Oversee and monitor customer service levels provided and implement continuous service improvements;
  18. Implement improved operational processes that enhance capabilities to meet/exceed service standards;
  19. Ensure organizational adherence and accountability to standard operating procedures;
  20. Oversee all health and safety requirements;
  21. Manage tenant construction together with the Tenant Coordination group;
  22. Support and involvement in Fire & Life Safety contracts and practices, maintaining integrity of the asset.

WHAT WE’RE LOOKING FOR

  1. Excellent people leadership abilities and a dedication to continuous improvement;
  2. Approachable, positive demeanor with a hands-on and team-oriented work style;
  3. Post-secondary education is preferred, ideally in mechanical/civil engineering. Courses in building services or the technical trades will also be considered (ie. FMA Designation);
  4. Ability to apply successful initiatives utilizing up-to-date industry technologies;
  5. Proven analytical and problem-solving skills. Ability to quickly understand and identify issues and propose solutions;
  6. Proven ability to effectively prioritize workflow to ensure deadlines are met in a fast-paced environment. Able to adapt to shifting priorities;
  7. Takes initiative, is proactive in their work, and results-oriented;
  8. Ability to manage and adapt to change;
  9. Extensive experience working with budgets and understanding financial statements (NOI and/or EBITDA based);
  10. Solid contract management and computer skills (Excel, Word, Yardi, Outlook and other platform exposure);
  11. Knowledge of LEED and BOMA standards, and an environmental focus;
  12. Must be a resourceful team player, with a strong commitment to customer service and the ability to effectively balance numerous priorities;
  13. Strong communication skills with the ability to communicate proficiently in the English language (verbal and written);
  14. Strong team player, working well and collaboratively with all on-site departments including Marketing and Specialty Leasing.
