JLL is seeking an Operations Manager who will ensure the entire property, including land and buildings, is maintained to the highest standard.
What You’ll Be Doing
Property Management & Maintenance:
Oversee maintenance, repairs, and upkeep of the property, including buildings, common areas, and parking areas.
Conduct daily inspections and maintain proactive communication with the General Manager.
Manage vendor relationships and contracts for services such as security, HVAC, cleaning, landscaping, and snow removal.
Ensure compliance with health and safety regulations, building codes, and environmental standards.
Team Leadership & Development:
Lead, mentor, and develop direct reports by adhering to policies, providing feedback, and resolving performance issues.
Recruit, train, and supervise on-site staff.
Foster a positive work environment and promote teamwork.
Ensure staff adherence to company policies and procedures.
Financial Management & Budget Oversight:
Develop and manage annual operating budgets, including expense forecasting, variance reports, and year-end accruals.
Monitor and control expenses, analyzing financial reports and recommending improvements.
Monitor and manage all utilities expenses and tenant billing related to water, hydro, and gas metering.
Service Contracts & Procurement:
Negotiate, manage, and oversee all service contracts.
Procure goods and services in line with company guidelines.
Energy Management & Sustainability:
Develop and implement an energy management program.
Ensure the property adheres to sustainability initiatives such as recycling, waste diversion, and energy-efficient practices.
Implement and oversee ESG initiatives and sustainability programs.
Ensure compliance with environmental regulations and standards.
Customer Service & Tenant Relations:
Ensure high standards of service to internal and external customers.
Implement processes to improve customer satisfaction and operational efficiency.
Serve as a point of contact for tenant concerns and requests.
Assist in coordinating tenant move-ins, move-outs, and renovations.
Enforce lease terms and property rules/policies.
Collaborate with the marketing team on events and promotions.
Health, Safety & Risk Management:
Oversee health and safety compliance.
Develop and implement emergency response plans.
Oversee security operations to ensure a safe environment for shoppers, tenants, and staff.
Manage insurance claims and risk mitigation strategies.
Tenant Coordination:
Manage tenant-related construction in collaboration with the Tenant Coordination team.
What We’re Looking For
Leadership: Excellent people management skills with a hands-on, collaborative approach.
Education & Certifications: Post-secondary education in fields like mechanical/civil engineering or technical trades. FMA, CEM / CET / P.Eng designation is an asset.
Experience: 3+ years of experience in shopping centre or retail property management.
Industry Knowledge & Technology: Experience with industry technologies and best practices, particularly in facilities management, sustainability, and energy management. Proficiency in property management software and Microsoft Office Suite.
Problem-Solving & Adaptability: Strong analytical, prioritization, and problem-solving skills, with the ability to adapt to shifting priorities in a fast-paced environment.
Contract & Budget Management: Strong background in managing budgets, financial statements, and contracts.
Communication: Excellent verbal and written communication skills in English, with the ability to work well across teams.
Environmental Awareness: Knowledge of LEED, BOMA, and sustainability standards is beneficial.
Flexibility: Ability to work flexible hours, including evenings and weekends as required.
