Position Overview
This role combines Office Management, Administrative Assistance, and Executive Support. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. You will work closely with the CFO, ensuring smooth office operations, supporting executive functions, and maintaining efficient administrative processes.
Key Responsibilities:
- Administrative & Office Management
- Manage office operations, supplies, and organization
- Maintain accurate business and project files (electronic & hard copy)
- Handle incoming mail, deliveries, and phone calls, directing them appropriately
- Assist with scheduling meetings and managing calendars
- Ensure office equipment and supplies are well-maintained
Executive Assistance:
- Provide direct administrative support to the CFO and executive team
- Assist with bookkeeping and payroll tasks as required
- Handle confidential and sensitive information professionally
- Support company benefit enrollments and employee documentation
- Assist with accounts receivable sorting and filing, ensuring proper documentation and organization
Project & Operations Support:
- Enter and maintain data in spreadsheets, reports, and project management software
- Assist in defining and improving company processes and procedures
- Follow up on project-related documentation (e.g., insurance and safety documents)
- Prepare O&M binders and organize project-related safety documentation
- Coordinate purchase order emails to suppliers and trades
Communication & Coordination:
- Draft and send follow-up emails, maintaining action items
- Prepare reports and correspondence as needed
- Liaise with internal departments and external stakeholders as required
Qualifications & Skills Required:
- 2-5 years of prior experience in a similar administrative, office management, or executive support role
- Experience in administrative or clerical roles is required
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong typing and data entry skills
- Ability to learn new software and technology quickly
- Knowledge of office procedures and equipment (printers, fax machines) is an asset
- Excellent record-keeping, organizational, and multitasking skills
- Ability to work in a fast-paced, dynamic environment
- Strong interpersonal, written, and verbal communication skills
- Proactive mindset with a desire to improve processes and best practices
