Position Summary: We are seeking a detail-oriented and proactive Office Administrator to join our Cambridge team. This role is pivotal in ensuring the efficient operation of our office, providing administrative support to executives, and handling light reporting and analytics tasks. The ideal candidate will excel in a dynamic environment, balancing multiple responsibilities with professionalism and efficiency.
Responsibilities
- Welcome visitors and manage the reception area, ensuring a professional and welcoming atmosphere.
- Handle shipping and receiving tasks, including sending out samples and managing incoming deliveries.
- Occasionally assist functional departments during high volume activity times to ensure no disruption to business.
- Proven experience in providing executive-level administrative support, preferably in a sales organization.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Assist in organizing company events, meetings, and conferences as required.
- Ability to maintain a high level of confidentiality and discretion.
- A proactive and self-motivated attitude, with the ability to work both independently and as part of a team.
- Demonstrated ability to handle multiple tasks simultaneously with a sense of urgency and attention to detail.
Qualifications
- Bachelor's degree or equivalent experience in Business Administration or a related field is preferred.
- Proven experience in an administrative role, preferably with executive support responsibilities.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with data analysis and reporting tools; familiarity with analytics software is a plus.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a hybrid work environment.
- Note: This is a hybrid role that may require occasional in-office presence as well as the ability to work remotely.
