We Are Looking ForThe Operations Assistant supports daily operational tasks, ensuring smooth workflow and efficient business processes. This role involves coordinating administrative duties, managing work orders, assisting with project management, monitoring inventory, maintaining records, and providing operational support to various departments.
What You Will Do- Administrative Support:
- Assist in managing schedules, appointments, and meetings for the Operations Manager or leadership team.
- Prepare reports, memos, and correspondence as required.
- Handle email and phone communications professionally.
- Work Order Management:
- Create, track, and close work orders in the system to ensure tasks are completed accurately and on time.
- Assign work orders to the appropriate teams or personnel.
- Monitor the progress of work orders and provide status updates to stakeholders.
- Ensure all documentation related to work orders is properly filed and updated.
- Logistics and Inventory:
- Monitor inventory levels and assist in ordering supplies or equipment as needed.
- Support shipping and receiving processes, including documentation and scheduling.
- Ensure accurate record-keeping for procurement and inventory management.
- Process Coordination:
- Collaborate with teams to implement operational improvements.
- Help monitor workflows to ensure compliance with company policies.
- Provide support for the planning and execution of company projects or events.
- Data Management:
- Maintain databases and update records, ensuring accuracy and accessibility.
- Generate reports and analyze data to support decision-making.
- Customer Service:
- Address inquiries from clients, suppliers, or internal stakeholders promptly.
- Resolve operational issues or escalate them to the appropriate department.
- General Duties:
- Perform other duties assigned by the Operations Manager to support overall business goals.
- Promote a positive, organized, and collaborative work environment.
What You Will Need- Education: High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration, Operations Management, or a related field preferred.
- Experience: 1-3 years of experience in operations, administration, or a similar role. Experience with work order systems or facilities management is a plus.
- Skills:
- Proficiency in work order management software (e.g., CMMS, ServiceNow, or similar).
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Problem-solving and analytical thinking skills.
