Job Summary:

This position is responsible for developing Office Management departmental goals, long range plans, policies and procedures in adherence with Head Office and local guidelines relating to property, fixtures, equipment, security, maintenance, emergency evacuation plans, mail room operations, office supplies inventory, off site storage, and bank insurance policies. Within Human Resources, the core responsibilities include supporting HR risk and compliance management activities such as audit pre-work, regulatory compliance, and reviewing and writing Human Resources policies and procedures.

Key Responsibilities:

OFFICE MANAGEMENT

Develop policies, goals, and process improvements:

  • Create short- and long-term plans for the department aligned with corporate and regional objectives.
  • Ensure processes adhere to standard and local requirements.
  • Identify and recommend solutions for operational efficiency and collaboration.

Manage Fixed Assets, Compliance, and Office Safety:

  • Oversee the acquisition, disposal, maintenance of assets, and conduct inventory checks.
  • Liaise with building management, security, and maintenance to ensure office safety and adherence to protocols, as well as compliance with health and safety standards and practices.
  • Serve as lead for workplace health and safety, including serving as co-chair on the Workplace Health and Safety Committee as necessary and appropriate.

Support Real Estate and Location Strategy:

  • Aid in real estate projects, including acquisitions, disposals, and workspace design.
  • Prepare financial reports, forecasts, and updates on workspace availability.
  • Coordinate with stakeholders to meet organizational and employee location needs.

HUMAN RESOURCES

Conduct Audit Pre-Work:

  • Validate the completion of HR records, activities, and processes in accordance with documented policies and procedures.
  • Identify and recommend solutions for operational improvements, efficiency, and collaboration.

Maintenance of HR Policies and Procedures:

  • Prepare HR policies and procedures for regular periodic reviews and approvals.
  • Work with HR stakeholders to prepare HR policies and procedures for ad-hoc (off-cycle) reviews and approvals as necessary.
  • Flag regulatory changes for HR stakeholders, and collaborate with stakeholders (as necessary) to redesign existing policies and procedures or develop new policies and procedures in order to ensure compliance with regulatory requirements.

Technical Skills:

  • Computer skills - intermediate proficiency in MS Office including Outlook, Excel, Word, PowerPoint, and Sharepoint.
  • Strong analytical, problem solving, and project management skills.
  • Familiarity with architectural and construction drawings.
  • Working knowledge of Human Resources and regulatory policies and procedures, including labour and employment laws (both federal and provincial (Ontario)), both conceptually and in writing.

Experience and Abilities:

  • Minimum 5-7 years experience in Office Administration, with 3-5 years experience managing an office environment.
  • Minimum 3-5 years supervisory experience managing a small team.
  • Minimum 3-5 years experience in Human Resources.
  • Ability to motivate, mentor, foster a collaborative team environment.
  • Ability to work under pressure, with flexibility and ability to react quickly.
  • Ability to manage multiple projects with changing priorities.
  • Ability to readily organize information and to quickly assess situations in order to propose optimal solutions independently, with little direction when necessary.
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Ability to challenge stakeholders with respect to the manner in which they comply with documented policies and procedures, and in order to drive changes to existing processes to better align with regulatory requirements and expectations.

Education & Training:

  • College Diploma or University Degree in Office or Business Administration or related field.

Working Conditions:

  • Typical office environment.
  • No exposure to hazards.
  • No business travel required.
