The ideal candidate is a highly motivated and experienced Healthcare Clinic Manager who has a collaborative leadership style, is customer centric and will ensure the efficient and effective operation of a busy multi-location clinic. The successful candidate will have a strong background in administrative healthcare management, excellent organizational skills, and the proven ability to manage, engage and lead an administrative team. The Office Manager will be responsible for ensuring the highest quality of patient care services, managing clinic administrative staff, overseeing client files and third party payers, and maintaining compliance with healthcare regulations.
Responsibilities:
Oversee the daily operations of the healthcare clinic
Manage and supervise administrative staff, including hiring, training, performance evaluations, and scheduling
Nurture and maintain a pleasant work environment, ensuring elevated levels of organizational effectiveness, communication, and safety
Comprehensive working knowledge of Clinicmaster, healthcare systems, MS Office Suite
Monitor and improve clinic processes for efficiency and effectiveness
Plan and implement office systems, procedures, procurement, and policies
Maintain clinic facilities and equipment
Ensure clinic protocols, processes, and procedures are adhered to
Assist Clinic Director with medical professional team schedule
Oversee the management of client files, including third party insurers, WSBC, and ICBC
Oversee the scheduling and billing processes for all files and third party payers, MSP, ICBC, and WSBC
Responsible for reconciliation of all client files
Accounts Payable/Receivables, staff payroll, and monthly bill reconciliation in conjunction with bookkeeper
Cultivate relationships with vendors
Assist with website improvement and social media campaigns
Report to Clinic Director
Other duties as required
Qualifications:
Bachelor's degree in Healthcare Administration, Business Administration, or equivalent experience
Four years of experience in healthcare management, preferably in a clinic setting
Strong knowledge of healthcare regulations and standards
Proficiency in healthcare management software, Clinicmaster, MS Office, Excel, and Outlook
Third party billing and insurer experience, WSBC, ICBC, MSP
Excellent leadership and team management skills
Proven ability to build a positive workplace culture
Scheduling experience
Strong organizational and problem-solving abilities
Excellent communication and interpersonal skills
Ability to manage multiple tasks and priorities in a fast-paced environment
Knowledge of marketing, web management, and social media campaigns is an asset
