Job Description:
As an Office Manager you will play a pivotal role in ensuring the smooth and efficient operation of our office. You will be responsible for overseeing administrative tasks, covering once a week for reception, managing office supplies, coordinating meetings and events, providing support to our team and Executive Director. The ideal candidate is highly organized, proactive, and capable of multitasking in a fast-paced environment, able to work with and support diverse populations.
Key Responsibilities:
- Oversee and manage daily office operations to ensure a seamless workflow
- Reception duties once a week & cover for sick and vacation reception days
- Coordinate and schedule meetings, appointments, and events
- Manage office supplies inventory and place orders as needed
- Assist in the preparation of reports, presentations, and other documents
- Maintain office records and ensure proper filing and documentation
- Support HR functions, including onboarding new employees and maintaining employee records
- Liaise with vendors, clients, and other stakeholders
- Ensure a clean, organized, and welcoming office environment
- Perform other administrative tasks and special projects as assigned
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role
- Excellent organizational and time management skills
- Attention to detail is a must
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and prioritize tasks effectively
- Strong problem-solving skills
- Ability to work independently and as part of a team
- High level of discretion and confidentiality
Preferred Qualifications:
- A diploma in Business Administration, Office Management, or related field
- Experience in a fast-paced and dynamic work environment
- Experience working in mental health or health care field
- Working knowledge of JANE Booking system
- Familiarity with office management software and tools

Pay: $24.00-$25.50 per hour
