Our team is passionate and dedicated. We are currently seeking an Office Manager to join our dynamic team and help us continue to thrive and grow, as we serve the community.

Job Description:

As an Office Manager you will play a pivotal role in ensuring the smooth and efficient operation of our office. You will be responsible for overseeing administrative tasks, covering once a week for reception, managing office supplies, coordinating meetings and events, providing support to our team and Executive Director. The ideal candidate is highly organized, proactive, and capable of multitasking in a fast-paced environment, able to work with and support diverse populations.

Key Responsibilities:

  1. Oversee and manage daily office operations to ensure a seamless workflow
  2. Reception duties once a week & cover for sick and vacation reception days
  3. Coordinate and schedule meetings, appointments, and events
  4. Manage office supplies inventory and place orders as needed
  5. Assist in the preparation of reports, presentations, and other documents
  6. Maintain office records and ensure proper filing and documentation
  7. Support HR functions, including onboarding new employees and maintaining employee records
  8. Liaise with vendors, clients, and other stakeholders
  9. Ensure a clean, organized, and welcoming office environment
  10. Perform other administrative tasks and special projects as assigned

Qualifications:

  1. Proven experience as an Office Manager, Administrative Assistant, or similar role
  2. Excellent organizational and time management skills
  3. Attention to detail is a must
  4. Strong written and verbal communication skills
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  6. Ability to multitask and prioritize tasks effectively
  7. Strong problem-solving skills
  8. Ability to work independently and as part of a team
  9. High level of discretion and confidentiality

Preferred Qualifications:

  1. A diploma in Business Administration, Office Management, or related field
  2. Experience in a fast-paced and dynamic work environment
  3. Experience working in mental health or health care field
  4. Working knowledge of JANE Booking system
  5. Familiarity with office management software and tools

Job Types: Part-time, Permanent

Pay: $24.00-$25.50 per hour

Expected hours: 28 per week
