Force Civil Solutions Ltd. is excited to announce we are looking for an Office Manager to join our team.

Summary

The Office Manager is responsible for overseeing the daily administrative operations of the office to ensure smooth and efficient functioning. This role involves managing office support staff, maintaining office organization, coordinating office activities, and supporting executives and other team members with administrative tasks. The Office Manager acts as a central point of contact for both internal and external stakeholders.

Responsibilities

  1. Oversee the day-to-day operations of the office, ensuring a clean, organized, and productive work environment.
  2. Prepare regular monthly and year-end financial reports (e.g., profit and loss statements, balance sheets) for review.
  3. Coordinate tax filings & installments including GST, income taxes, and corporate taxes.
  4. Monthly bank, credit card, intercompany, and inventory reconciliations.
  5. Oversee payroll processing for employees, ensuring timely and accurate payment while adhering to legal requirements.
  6. Serve as the primary point of contact between employees, management, and external parties such as vendors or clients.
  7. Manage and provide support for inbound and outbound communications, including phone systems, email accounts, and client software.
  8. HR basic tasks such as maintaining employee records, onboarding new employees by setting up workstations & equipment, or handling payroll/benefit inquiries.
  9. Equipment Management, including tracking costs and usage, insurance, acquisitions, and disposals.
  10. Support the development and execution of strategic plans and initiatives.
  11. Foster a positive office environment by promoting teamwork, cooperation, and communication among staff.
  12. Perform other duties as required.

Requires Skills

  1. Advanced proficiency with Microsoft Office applications, Word, Excel, and Outlook.
  2. Working knowledge of General Ledger and Chart of Account structures.
  3. General understanding of computerized accounting systems.
  4. Exceptional understanding of accounting and financial reporting principles and practices.
  5. Detail-oriented, with an emphasis on quality of work.
  6. Excellent ability to prioritize work tasks according to deadlines.
  7. Strong oral and written communication skills.
  8. Strong analytical and organizational skills.
  9. Professional demeanor with a customer service-oriented approach.
  10. Ability to work independently as well as part of a team.
  11. Extended hours of work may be required from time to time.
  12. Personal and reliable transportation to and from the office.

Required Experience

  1. Diploma/Degree in Business Administration, Accounting, Finance, or a related field is required.
  2. 5+ years of experience in management and full cycle accounting, preferably in a construction setting.
  3. Knowledge of Sage 100 Contractor considered an asset.
  4. Fluent in English.

This is a full-time, permanent position. We offer an excellent, competitive salary along with a comprehensive benefit package. Salary to be based upon qualifications and experience.

Pay: $60,000.00-$85,000.00 per year
