A Little Bit About Our Team

We are seeking a highly organized and proactive Office Experience Manager to join our dynamic team in Toronto. This pivotal role will be responsible for ensuring the smooth day-to-day operations of our office, providing exceptional administrative support, and maintaining a functional and welcoming workplace environment. You will be the go-to person for office needs, facilities-related matters, and the coordination of events. Here You’ll Get To

Facilities & Studio Coordination:

  • Oversee daily facility operations—including front desk coverage, office maintenance, security, mailroom, and supply management—while serving as the primary contact with building management for facility and security issues.
  • Coordinate building and studio access for employees, contractors, and events outside regular hours, manage studio bookings, and collaborate with the A&R team to ensure special setups are completed.
  • Support furniture moves, equipment installations, repairs, and perform daily walk-arounds to reset and maintain meeting rooms and other designated areas.
  • Assist in managing the facility supplies budget by ordering, tracking expenses, and maintaining an organized environment.

Administrative & Event Support/Preparation

  • Provide comprehensive administrative assistance by handling correspondence, scheduling meetings, organizing executive gatherings, and processing vendor invoices.
  • Greet and register VIP guests while delivering exceptional customer service.
  • Act as the primary liaison for internal and external events by setting up basic A/V equipment, coordinating with artist teams for instrumentation needs, and preparing detailed event schedules from load-in to load-out.

About You

  • You have 2-4 years of experience supporting corporate administrative and facilities functions with a strong customer service orientation.
  • A strong customer-centric mindset paired with a genuine eagerness to help others, consistently maintaining a calm, skilled, and composed demeanor in client-facing roles.
  • You value the importance of the Health & Safety within our office and contributing to a safe and healthy work environment.
  • Demonstrated ability to multitask effectively, prioritize tasks efficiently, have a high degree of attention for details, organizational skills and work collaboratively as a team player.
  • You have basic knowledge in setting up and troubleshooting common A/V equipment.
  • Flexibility on scheduled shifts on short notice when required.
  • Willingness to be hands-on and participate in facilities operations activities, such as moving furniture or stocking supplies.
  • Independent, proactive, and flexible work style with the ability to collaborate effectively across different functions while maintaining a positive and enthusiastic “can-do” attitude.
  • Strong attention to detail, accuracy, Critical-thinking, and problem-solving abilities.
  • You possess excellent written and verbal communication skills.

We’d Love It If You Also Had

  • Proven experience in team management, with the potential to oversee a direct report (subject to change).
  • Basic experience supporting studio and/or creative spaces.
