Job description

Duties:

  1. Manage the front desk operations, acting as the first point of contact for guests, employees, candidates, and vendors.
  2. Keep the office clean and organized, including conference rooms, stock and storage rooms, and communal areas.
  3. Perform administrative tasks, including answering and directing phone calls, email correspondence, faxing, filing, taking meeting minutes, and handling mailings and deliveries.
  4. Provide ad-hoc support to office and other staff members and departments as needed, including organizing team events, whether onsite or offsite.
  5. Oversee and order office supplies, anticipating requirements, stocking supply stations, and ensuring equipment is in working order.
  6. Maintain filing systems, contact databases, employee lists, and inventories.

Requirements and Skills:

  1. Proven experience as a back-office assistant, office assistant, virtual assistant, or in another relevant administrative role.
  2. Proficiency in Microsoft Office and an aptitude to learn new software and systems.
  3. Good written and verbal communication skills.
  4. Strong time-management skills and multitasking ability.
  5. High school diploma or equivalent.
