The Office Assistant (OA) provides the first impression of the clinic, through phone, email, and face-to-face communications. They ensure that all those who communicate with the clinic are treated with respect and dignity. The OA is primarily stationed at the reception area in-clinic and is also in charge of keeping the clinic running smoothly by completing a variety of tasks.
Successful candidates will be mature, highly reliable, team-oriented, and excellent at multi-tasking, and communicating both verbally and in writing. Proficiency with computers is essential.
Day-to-day responsibilities include:
- Communicating with all those who contact the clinic via phone, fax, e-mail, social media, and in-person.
- Scheduling and confirming appointments via phone, e-mail, and in-person.
- Welcoming patients and leading them to exam rooms or other areas as needed.
- Accurately maintaining and updating patient records as needed, including data entry.
- Handling billing procedures, including patient payments and insurance billing.
- Performing clinic opening and closing duties.
- Instrument processing/sterilization.
- Helping with clinic activities, including social media and basic treatment procedures.
- Ordering clinic supplies as needed.
- Adhering to company mission, vision, values, and policies.
The successful candidate:
- Has an Office Assistant or Medical Office Assistant certificate or relevant certification, or post-secondary diploma and higher with a minimum of 1 year experience in a similar work setting.
- Work experience in a medical office setting is an asset, especially with medical and insurance processes and legislation.
- Is fluent in English, with excellent written and verbal communication skills.
- Has excellent customer service, planning, and organizational skills.
- Is comfortable with technology, with good computer, data entry, and social media skills.
- Experience with electronic medical records is an asset.
- Respects patient privacy and can conduct self in a professional manner at work.
- Loves life, people, and learning.

Pay: $19.00-$21.00 per hour
