In 2022, Huron House coined the concept of Mental health+.
Mental health+ is the idea of reducing barriers to treatment and giving individuals a voice, by building collaborative, inclusive, diverse, and highly individualized support plans in tandem with the child or youth’s circle of care.
We are recruiting to add to our team; individuals with the skills, motivation, and desire to change the way mental health care is offered.
Position: Office Administrator
Location: Bright's Grove, ON
Hours of Work: 35-40 hours per week
Accountable to: Executive Director

General Administrative Duties:
- Ensure the best interest and long-standing image of the Huron House Boys' Home is maintained throughout the community.
- Pick up mail each morning and post mail at the end of each day.
- Answer all incoming calls, take and pass on messages, and record messages pertaining to staff/residents found in the daily notes, e.g., doctor appointments.
- Typing and distributing invoices to CAS including per diem rate costs, prescriptions, clothing, etc.
- Typing and distribution of all correspondence, agency data, reports, and letters pertaining to Huron House Boys' Home, or the residents.
- Prepare MCSS license application; obtain appropriate documentation/inspection reports to complete the application.
- Order all office supplies, school supplies, maintenance and kitchen equipment, and supplies (excluding food).
- Handle donation receipts as required, e.g., gifts of kind, IMO’s, Bulletin, Men Who Cook, RWSB, or other events.
- Work with the Executive Director and the planning committees of various fundraising activities, ensuring all necessary documents, contracts, and approvals from all sectors of the community are obtained.
- Arrange registration, fees, accommodation, and travel for the Executive Director and staff.
- Forward correspondence to outside agencies.
- Assemble and organize new resident files.
- Ensure all birthday, school, dental, and medical contact lists are current.
- Provide backup to staff regarding general information.
- Assist Accountant and Volunteer Fundraiser with typing, invoices, etc., when required.
- Purchase all new and/or replaced household furnishings under the direction of the Executive Director.
- Maintain personnel files in the Executive Director’s office.
- Maintain employee training requirements in the database and distribute them to appropriate personnel as required to ensure compliance with legislation.
- Assist with the design and execution of social media campaigns in conjunction with the fundraising department and the Executive Director as needed.
- Ensure and maintain the integrity of Youth Services of Lambton County as well as the Foundation.
Qualifications and Experience:
- Minimum: Secondary School graduate with commercial/business training; preferably a community college graduate in business or equivalent experience in a senior-level secretarial position.
- Fluent in Microsoft Word, Windows, Advanced Excel, development of PowerPoint presentations, Income Manager database.
- Must be a self-starter with sound organizational skills and be able to work independently, with an innate sense of correct priorities.
- Knowledge of the Ministry of Children and Youth Service system and our relationship with them.
- Ability to work and communicate professionally with staff, Boards, volunteers, clients, customers, and vendors.
- Ability to compose written correspondence professionally as well as to produce reports in a timely manner.
- Ability to proof-read own and others’ work.
- Adaptability and flexibility as the needs of the agency change.
- Other duties as required by the Executive Director.
