Job Description

We are seeking a friendly and organized Office Administrator to join our team. As the first point of contact for our clinic, you will play a crucial role in creating a welcoming atmosphere for our clients and their families. Your responsibilities will include managing front desk operations, scheduling appointments, handling client inquiries, and maintaining client records.

Key Responsibilities:

  1. Answer phone calls and manage client inquiries in a professional and courteous manner.
  2. Schedule and confirm appointments using our clinic’s scheduling software.
  3. Maintain accurate client records and ensure all necessary documentation is completed.
  4. Process client intake forms and insurance information.
  5. Coordinate with therapists and administrative staff to ensure smooth clinic operations.
  6. Handle billing and payment processing.
  7. Assist with general administrative tasks as needed.

Skills:

  1. Proficiency in basic office tasks such as data entry, clerical duties, and front desk operations.
  2. Knowledge of QuickBooks or similar accounting software is a plus.
  3. Familiarity with medical office procedures and terminology is an asset.
  4. Ability to work effectively in a team environment, demonstrating excellent communication and interpersonal skills.
  5. Experience with customer support or client-facing roles is preferred.
  6. Knowledge of Google Suite for documentation and organization purposes is beneficial.
  7. Strong attention to detail for tasks like proofreading documentation and maintaining accurate records.

Qualifications:

  1. High school diploma or equivalent; additional education or certification in office administration is a plus.
  2. Previous experience as a receptionist or in a customer service role, preferably in a medical or pediatric setting.
  3. Excellent verbal and written communication skills in Farsi and English.
  4. Strong organizational skills and attention to detail.
  5. Proficiency in using scheduling and medical record-keeping software, specifically Power Diary.
  6. Ability to multitask and handle a busy work environment with professionalism.
  7. A friendly and compassionate demeanor, especially when working with children and families.
