We are currently seeking an organized, proactive, and detail-oriented Office Administrator to join our team.

Position Overview:

The Office Administrator will serve as a key member of our team, responsible for managing front desk operations, supporting health and safety protocols, assisting with HR functions, and performing data entry tasks. The ideal candidate will be an excellent communicator, highly organized, and able to manage multiple tasks in a fast-paced environment.

Key Responsibilities:

  1. Front Desk Management:
    1. Greet and assist visitors, clients, and staff in a professional and friendly manner.
    2. Answer, screen, and direct phone calls.
    3. Manage office email and mail distribution.
    4. Maintain the office schedule, including meeting room bookings and event coordination.
  2. Health and Safety Support:
    1. Assist in implementing and maintaining health and safety protocols.
    2. Ensure that safety equipment and emergency procedures are up to date.
    3. Coordinate safety training and emergency drills as required.
    4. Keep safety records and documentation organized.
  3. Human Resources Support:
    1. Assist with recruitment processes, including scheduling interviews and maintaining candidate records.
    2. Help with onboarding new employees, ensuring all HR documentation is completed.
    3. Maintain employee records, ensuring they are accurate and confidential.
  4. Data Entry and Administrative Support:
    1. Enter and update data into various systems, ensuring accuracy and timeliness.
    2. Generate reports and assist with general office paperwork.
    3. Maintain and organize office files, records, and documentation.
    4. Provide general administrative support to various departments as needed.
    5. Assist with bookkeeping tasks.

Qualifications:

  1. Proven experience as an office administrator, front desk coordinator, or in a similar role.
  2. Knowledge of office management systems and procedures.
  3. Familiarity with health and safety regulations and HR practices is a plus.
  4. Strong computer skills, including proficiency in MS Office (Word, Excel, Outlook).
  5. Excellent organizational and multitasking abilities.
  6. Strong written and verbal communication skills.
  7. Ability to handle sensitive information with discretion and confidentiality.
  8. High school diploma or equivalent (associate’s degree or higher preferred).
