Harbinger has partnered with a growing subcontractor company and is looking for a highly organized and motivated Office Admin/Customer Service professional to join our team in the construction industry. In this role, you will handle a range of administrative tasks, provide exceptional customer service, and manage job scheduling and billing through software like QuickBooks and Housecall Pro. This is an onsite position based in Burlington, where you will support our day-to-day office operations and assist with the smooth flow of construction projects.
Key Responsibilities:
- Office Administration:
- Handle general office duties such as data entry, filing, organizing, and maintaining office records.
- Coordinate and schedule construction project appointments, site visits, and meetings.
- Ensure efficient operations and maintain the office environment, including managing supplies and office equipment.
- Customer Service:
- Serve as the first point of contact for clients, subcontractors, and vendors, answering phone calls, emails, and in-person inquiries.
- Address client concerns, project inquiries, and follow up on service requests to ensure high levels of customer satisfaction.
- Assist in resolving any issues related to projects or services, providing professional and courteous support at all times.
- Scheduling & Dispatching (Housecall Pro):
- Use Housecall Pro to schedule and dispatch appointments for construction projects and service calls.
- Track the progress of scheduled jobs and ensure all necessary resources are available.
- Communicate with team members, clients, and subcontractors to confirm appointments and project timelines.
- Financial Management (QuickBooks):
- Use QuickBooks to manage project billing, create and send invoices, and process payments.
- Track project expenses, assist with budget management, and maintain accurate financial records.
- Generate reports and assist with bookkeeping tasks to ensure financial accuracy and compliance.
- Process payroll and upload hours.
- Documentation & Reporting:
- Maintain detailed and organized records of all customer interactions, project timelines, and financial transactions.
- Prepare and organize project documentation, contracts, and permits as needed for ongoing construction projects.
- Assist with project-related paperwork and ensure timely filing of all necessary documents.
- Support as Needed:
- Provide administrative support to project managers and the team as required.
- Assist with other office and customer service tasks to ensure smooth project execution.
Qualifications:
- Previous experience in office administration, customer service, or a similar role, preferably in the construction industry.
- Proficiency in QuickBooks for managing invoicing, payments, and financial reporting.
- Experience using Housecall Pro or similar service management software (preferred but not required).
- Strong communication skills, both verbal and written, with the ability to interact with clients and teams effectively.
- Ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.
- Strong organizational and problem-solving skills.
- Knowledge of basic construction terminology or processes is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, etc.) and general office equipment.
- Ability to work onsite in Burlington Monday to Friday.
