This is a temporary full-time assignment up to approximately thirteen (13) months.

Sinai Health is looking for an experienced and dedicated Medical Secretary to support our busy and dynamic male infertility program within the department of Urology at Mount Sinai Hospital.

The successful incumbent will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. They will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of a physician’s clinical practice within the Murray Koffler Urologic Wellness Centre at Mount Sinai Hospital.

Our specialized clinic at the Murray Koffler Urologic Wellness Center is integral to Mount Sinai Hospital's comprehensive cancer care program. Dedicated to the early detection and innovative treatment of urological cancers, our clinic collaborates closely with the University Health Network (UHN) to deliver expert care in diagnosing and treating the most complex urological cancer surgical procedures. We integrate advanced diagnostic tools with timely surgical consultations and interventions, aiming to optimize long-term health outcomes for our patients. Our team, comprised of leading uro-oncologists, skilled surgeons, and compassionate nursing staff, is deeply committed to enhancing patient care and contributing to the field through ongoing research and clinical excellence.

In this role you will:

  1. Greet patients and visitors in a friendly, courteous and respectful manner.
  2. Function in the front office clinical role providing timely, friendly, empathetic and informative service to patients and visitors.
  3. Schedule patient appointments, tests and procedures. Enter patient information for various physicians, sending out faxed or emailed appointment information to patients and referring physicians.
  4. Answer phone calls, voicemails and email messages and respond to patients in a timely manner.
  5. Photocopy requisitions and prepare requisitions for physicians.
  6. Sort faxes, placing them in triage folders.
  7. Prepare and maintain patient charts, including filing of all results and correspondences received.
  8. Validate OHIP health cards and MSH cards.
  9. Bill for consults and procedures not covered by OHIP, prepare daily tally for Administrator and prepare billing documentation for OHIP billing clerks in a timely fashion.
  10. Arrange for interpreters when needed.
  11. Forward information to other physicians respecting patient confidentiality and privacy including retrieval of release of information documents as necessary.
  12. Organize prescription renewals for pharmacies by phone and fax.
  13. Drop off mail, pick up and sign off for all deliveries at the front office.
  14. Maintain an up-to-date clinical calendar on appointment scheduler.
  15. Work collaboratively with other administrative support staff.
  16. Perform other duties related to the position as assigned.

Job Requirements:

Mandatory:

  1. Successful completion of a college diploma from an accredited educational institution.
  2. Minimum of two (2) years of related experience.
  3. Applicants with proven equivalent recent and related training and experience may be considered.

Preferred:

  1. 2 years or more of experience working within a clinic/health environment.
  2. College diploma specialization in the field of Medical Office or Business Administration.
  3. Previous experience with Accuro EMR would be an asset.

Skills and Knowledge:

  1. Proficiency with medical terminology and medical dictation.
  2. Proficient in Microsoft Word, Excel, Power Point, Outlook.
  3. Demonstrated work ethic; positive, client-focused attitude; superior professionalism; dependability and reliability; demonstrated commitment to providing outstanding customer service.
  4. Superior written/oral communication and presentation skills; excellent interpersonal and relationship building skills; ability to effectively convey factual information and detailed explanations.
  5. Superior time management, organizational and self-planning skills displaying flexibility by adjusting work schedules according to changing priorities, meeting demanding deadlines and producing high quality work.
  6. Demonstrated ability to make decisions, exercise good judgment, discretion and initiative when dealing with confidential information and/or in responding to inquiries.
  7. Demonstrated satisfactory work performance and attendance history.
