Job Description
Sinai Health is looking for a Medical Secretary to support our Department of Obstetrics and Gynaecology at Mount Sinai Hospital. The Medical Secretary is an integral part of the busy, dynamic and growing Reproductive Endocrinology and Infertility Program at Mount Sinai Fertility. In this role, you will be expected to exercise sound judgment and independence while managing the day-to-day related administrative activities. You will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the program.
In this role you will:
- Provide all reception and clerical support for the physician.
- Responsible for patient registration, appointment bookings, and maintaining the patient database.
- Enter patient information into the billing system and prepare patient files/folders prior to patient visits.
- Manage new patient referrals on a timely basis.
- Liaise with a multidisciplinary team, including the primary nursing team.
- Responsible for all phone and email communications with patients, including scheduling appointments, addressing patient concerns, and managing patient referrals.
- Coordinate and schedule patient investigations and treatments in conjunction with other secretarial and nursing staff at the clinic.
- Coordinate all in-person and virtual appointments and billings.
- Assist in coordinating divisional OR days for IVF physicians.
- Prepare and submit invoices to the business office for IVF and monitoring sessions as necessary.
- Coordinate meetings, maintain physicians' schedules, and type/edit minutes.
- Prepare travel reimbursements/cheque requests for Finance as necessary.
- Responsible for physician billing; input OHIP and non-OHIP/third-party claims.
- Responsible for OHIP submissions and reconciliations, and follow up on outstanding claims (claims error reports).
- Coordinate O.R. bookings for patients, as well as Short-Stay and EOPS.
- Play an active and supportive role in relation to the physician’s academic responsibilities and provide academic administrative support (maintaining CV and research activities).
- Attend the satellite clinic 2 days per week at the 800 Southdown Mississauga location.
- Maintain records of academic certification and teaching dossiers.
- Evaluate daily mail and faxes, and answer all incoming telephone inquiries.
- Perform other related duties as assigned by the physician and/or by Senior Medical Leads.
Job Requirements
Mandatory:
- Successful completion of a college diploma, preferably in the field of Office Administration or Business Administration, from an accredited educational institution.
- Minimum three (3) years of recent secretarial experience (experience in a teaching/health environment is preferred).
Preferred:
- Proficiency with medical terminology.
Skills and Knowledge:
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong work ethic; positive, client-focused attitude; superior professionalism; dependability and reliability; demonstrated commitment to providing outstanding customer service.
- Superior written and oral communication and presentation skills; excellent interpersonal and relationship-building skills; ability to effectively convey factual information and detailed explanations.
- Excellent time management, organizational, and self-planning skills, with flexibility to adjust work schedules according to changing priorities, meet demanding deadlines, and produce high-quality work.
- Demonstrated ability to make decisions, exercise good judgment, discretion, and initiative when dealing with confidential information and responding to inquiries.
- Demonstrated satisfactory work performance and attendance record.
