Position Summary:

Reporting to the Director of Operations, the incumbent is the first point of contact with patients and the community at the CHC. The Medical Receptionist works in collaboration with CHC providers, triaging patient requests, facilitating logistical support for scheduling as well supporting any additional tasks to support a multidisciplinary team while contributing to a comprehensive patient chart in the Electronic Medical Record (i.e. faxing, scanning, and client reminders). This position handles a high volume of phone calls and walk-ins.

Accountability and Responsibilities
Duties and responsibilities include, but are not limited to:
  1. Support walk-ins and direct them to the most appropriate contacts or services.
  2. Monitor messaging and perform any action required in a timely manner.
  3. Support provider requests in scheduling appointments or reiterating key messages.
  4. Answer inquiries via phone or email while representing the organization as a first point of contact.
  5. Manage and operate the telephone system.
  6. Facilitate client flow.
  7. Open, maintain and update records in the Electronic Medical Records while following standard medical reception workflows.
  8. Support bookings and reminder calls for primary care driven referrals while updating client’s chart.
  9. Support functions associated with organizational priorities and as identified by leadership.
  10. Support the organization in collection of consent(s) with varying parties and for various purposes and request to release information following privacy legislation.
  11. Respond to clients with empathy and patience.
  12. Facilitate urine and blood pick up for providers.
  13. Support client reminders via phone and patient messaging.
  14. Perform clerical duties, such as filing and sorting and distributing mail.
  15. Maintain NFCHC’s reception email and respond/forward requests in a timely manner.
  16. Work in a manner that demonstrates commitment to NFCHC mission, vision, and values; contributes to the CHC’s strategic goals and objectives and values the equality and diversity of the client community and NFCHC staff.
  17. Work in a safe manner as per relevant health and safety legislation and NFCHC policies.
  18. Any other reasonable duties as required.
Education and/or Work Experience Requirements
  1. Medical Office Administration or General Office Administration experience.
  2. Experience in a community healthcare environment or equivalent is an asset.
  3. Working knowledge of Electronic Medical Record systems (Accuro preferred).
  4. Proven ability to handle a high volume of client and prospective client traffic as well as a high volume of interaction with external providers.
  5. Experience operating telephone directory system.
  6. Knowledge of basic medical terminology.
  7. Superior skills in communicating with clients and providers in a respectful, professional, and understanding manner.
  8. Time management, organizational skills, accuracy, multi-tasking and attention to detail.
  9. Ability to learn and commitment to continuous learning.
  10. Knowledgeable of confidentiality and privacy practices.
  11. Proficiency in the use of Microsoft Office products.
  12. Second language is an asset.
