Position Summary:
As a Medical Office Assistant, you'll be an essential part of our healthcare team, handling critical administrative and clerical tasks that ensure our practice runs smoothly. Your strong organizational skills, communication abilities, and multitasking talents will play a key role in maintaining an efficient office environment and supporting our commitment to outstanding patient care. Flexibility to cover occasional weekends or evening shifts is required.
Key Responsibilities:
- Patient Reception & Support: Welcome patients warmly, assist with check-in/out processes, and maintain a friendly, professional attitude. Answer phone calls, manage inquiries, and schedule appointments with accuracy and empathy.
- Patient Records Management: Accurately handle and update patient medical records, manage filing systems, and maintain confidentiality within our electronic medical record (EMR) system.
- Health Card Verification: Verify health cards, obtain authorizations, and assist with patient questions related to insurance and billing.
- Appointment Scheduling: Coordinate and manage patient appointments, making every effort to meet patient preferences and arranging follow-ups as needed.
- Patient Prep for Visits: Prepare patients for exams by taking vitals (blood pressure, weight, height, temperature, etc.) and entering data into EMRs.
- Billing & Payments: Process invoices and outstanding balances accurately. Work with billing specialists to resolve issues and ensure timely payment.
- Communication Liaison: Facilitate effective communication among patients, medical staff, and other healthcare providers to maintain the smooth flow of information.
- Medical Procedure Assistance: Support healthcare providers during exams and minor procedures as needed.
- Maintain Office Cleanliness & Organization: Keep the reception and office area neat and welcoming for patients and visitors.
Qualifications:
- High School Diploma or equivalent; additional certification in medical assisting is a plus.
- Experience as a Medical Office Assistant or in a similar role in healthcare is strongly preferred.
- Familiarity with medical terminology and EMR systems.
- Excellent Communication Skills: Strong verbal and written abilities to interact with patients, staff, and external parties effectively.
- Organizational Prowess: Able to handle multiple tasks efficiently and maintain a high level of accuracy.
- Customer Service Orientation: A warm, empathetic approach to patient care, ensuring patient comfort and satisfaction.
- Tech-Savvy: Comfortable with computers, electronic scheduling systems, and office software.
- Professionalism & Integrity: High level of professionalism, confidentiality, and integrity in handling sensitive information.
- Flexibility: Willingness to occasionally cover weekend or evening shifts.
