Job Overview: Reporting to the Clinic Manager, Medical Office Assistants (MOAs) operate within the clinic environment, coordinating client services, managing the physical clinic environment, handling health information via the electronic medical record (EMR) and The Alex’s social services data platform, and facilitating communication between clients, clinicians, administration, and external care providers. MOAs rotate through various key roles and workstations and play a critical role within their assigned team of healthcare professionals. This is a full time 12-month contract position.

Key Responsibilities:

  • Maintain a high-level of competency in EMR use – includes scheduling, information entry and assessment, data management, document management, and all other functions needed for clinical care.
  • Manage data entry, management of information within EMR, including patient profiles, patient panels, and all functionality of EMR platform.
  • Accurately input relevant health information into the EMR and effectively communicate and curate information for other members of the care team to facilitate care.
  • Create and maintain client profiles in the EMR and social data system.
  • Conduct, for the benefit of triage and as part of care pathway, a medical history and client interview.
  • Assist primary care practitioners in day-to-day clinical care of clients.
  • Perform data entry and administrative tasks.
  • Clean and sterilize beds and instruments following universal precautions and best practice guidelines.
  • Prepare examination rooms and maintain medical supplies and equipment for all examinations and procedures.
  • Maintain inventory, laundry and other materials, as required.
  • Obtain reports, consultations, diagnostic imaging results, health records, etc. from various care providers and institutions as requested.
  • Provide ongoing administrative support to nursing, medical, and other Alex staff regarding the operational and procedural aspects of the health center.
  • Collaborate as part of a multidisciplinary team, including nurse practitioners, physicians, social workers, case managers, medical specialists, registered nurses, psychologists, pharmacists, and other professionals.
  • Work alongside the allied health team to support care provision at The Alex clinics.
  • Collaborate with all team members to facilitate best practice clinical care, despite the unique skillsets and responsibilities of each role.
  • Assist with data collection and entry as directed.
  • Perform other duties as required.
Qualifications And Experience:
  • Medical Office Assistant Certificate
  • Minimum two years’ experience in a medical office environment
  • Knowledge of medical terminology
  • Experience with medical sterilization techniques and autoclaves an asset.
  • Excellent computer skills
  • Basic physical assessment skills, including measurement of client vital signs (including blood pressure, temperature, oxygen saturation, height/weight, etc.) is required
  • Ability to manage multiple conflicting priorities
  • Ability to pay attention to detail
  • Strong written and verbal communication skills
  • Strong commitment to working with individuals living with severe and persistent mental illness and addictions
  • Proficient in health promotion and illness prevention
  • Skilled in building rapport with marginalized individuals
  • Ability to work independently and effectively with members of a multi-disciplinary team
  • Familiarity with evidence-based practices such as Motivational Interviewing, Nonviolent Crisis Intervention Training, Trauma Informed Care training, Mental Health First Aid, ASIST, and naloxone administration an asset.
  • First Aid (Basic or Intermediate) – Level C CPR & AED within 30 days of hire date; certification must be valid for a minimum of 6 months upon hire.
  • A satisfactory vulnerable sector criminal record clearance and Child Welfare Intervention Check are (in the Community Health Clinic and Youth Health Clinic only) are required
  • Demonstrated knowledge, understanding and commitment to the Truth and Reconciliation Commission of Canada: Calls to Action is an asset.
Work Environment And Hours:
  • The Alex Youth Health Clinic: 2840-2 Ave SE, Calgary, Alberta.
  • This is a 12-month contract position
  • 1.0 FTE (37.5 hours per week)
  • Standard Hours: 10:00 – 18:00
  • Continuous extended periods of sitting, with some standing and walking (sometimes up or down stairwells).
